Hours: | 25 hours per week, working pattern 8:00am-1:00pm Monday-Friday |
Weeks: | 39 weeks term time weeks per annum, including INSET days (as set by IFPT) |

Job Purpose:
To be the first point of contact in the Academy office for all visitors, staff, pupils, parents and carers and supporting the smooth running of the Academy’s busy office

This Job Description describes in general terms the normal duties which the post-holder will be expected to undertake. However, the job or duties described may vary or be amended from time to time without changing the level of responsibility associated with the post
Main responsibilities include:
Administration duties
- To provide confidential and dedicated administrative support to the Head of Academy and Assistant Head, as required
- Preparation and dispatch of communications to parents/carer, including newsletter
- Management of Schoolcomms or equivalent system for planning and implementation of trips, swimming and all other parent payments. Working closely with key members of staff and following Trust processes
- Administration of Academy clubs, including the preparation and distribution of termly club timetables and registers
- Dispatch wrap around breakfast and after school club register to teachers and general administration office
- Lead on Academy lettings, ensuring that all contractual paperwork and insurance is accurately maintained and shared to the trust central team. Maintaining a calendar of lettings for communication to the Site Officer and other relevant members of staff
- Assist with the Academy’s asset register, working with the Site Officer to ensure all items are asset tagged and communicated to the Trust Central Team
- Ensure responsibilities around GDPR are carried out effectively and adhered to within the academy office
- Acceptance of all deliveries to the academy, including milk, fruit and so on, in liaison with Site Officer
- Goods receipt orders on the Trust finance system
- Overseeing orders, in particular those relating to stationery usage and consumables
- Maintenance of the Academy staff list and communications list, editing and sharing amongst the staff and other relevant contacts
- Responsible for administration of parent evenings, academy photos, school nursing team visits and other academy wide events
