Admin Assistant job summary
Job Description:
17.5 hours, Monday - Friday 10.30-2.00pm, term time only.
Health and Safety:
Administering first aid when necessary (training will be provided if required)
Managing the administrative aspects of online educational programmes
Educational Support
Manage the school's library and maintain accurate records of inventory
Issue and manage fines related to the library and damages to books
Office Administration
Ensure the office area is tidy and welcoming, including managing and updating displays (for example, gold frames and parent information)
Provide administrative support to teaching staff, including photocopying assessments, preparing educational resources, and managing curriculum information
Work with the Office Manager to maintain the school’s calendar
Schedule appointments and meetings for staff members, manage the signing in and out system
Process and distribute incoming post, and manage outgoing post
Arrange and coordinate parents evenings, availability and appointments for staff
Record Keeping and Data Management
Handle administrative tasks such as updating pupil records, managing school registers, and compiling various data
Ensure pupil files are kept up-to-date
Be responsible for the accurate completion of school registers and attendance
Be responsible for the accurate completion of daily meal choices, ensuring all children have suitable lunch arrangements
School Culture and Environment
Maintain an inviting reception area that reflects the school's values and culture
Oversee lunchtime schedules and create rotas to ensure that pupils are properly supervised and enjoy a positive lunch experience.
Collaborate with the school management team to ensure the efficient and smooth operation of the school
Personal Assistant
Deliver administrative support to the SENC0 including calendar management, correspondence, and the preparation of presentations and reports.
Act as a point of contact between the SENCo and the public, managing all communication and facilitating the efficient resolution of issues as requested.
Attend and document meetings on behalf of the SENCo as required, taking detailed notes and preparing summaries.
Uphold strict confidentiality when handling sensitive information and fulfil ad hoc tasks as assigned, potentially providing support to other members of staff.
