Administration Apprentice job summary
ADMINISTRATION APPRENTICE
Working Hours: Monday – Friday. 0800-1600. Term time only.
Salary: Apprenticeship rate according to age
Reporting to: Office Manager
Main
purpose
To support the School in attaining its aims and objectives by providing an effective and efficient administrative service.
Duties and responsibilities
Ø Provide timely and effective administrative support to the
school in accordance with good office practice
Ø Assist with all reception duties including answering the
telephone and dealing with routine emails, checking the security of visitors
ensuring the visitors’ InVentry log is maintained and ensuring the reception
facilities are attractive and welcoming.
Ø Organise the collection of dinner money, free school meals,
free school meal vouchers, and dinner menus.
Attending CaterLink meetings as required.
Ø Be responsible for Breakfast Club and Breakfast Club
ordering
Ø Be responsible for first aid and medical support including ensuring
supplies are replenished across the school, updating the medical log, keeping
Handsam and Riddor files accurate, updating pupil medical records, and arranging
and administering medicines when needed
Ø Assist with the organisation of school clubs, including timetables,
communication with parents as well as keeping the school website updated
Ø Assist with the organisation of school trips
Ø SEND administration support
Ø Arrange Parent Mail and dealing with correspondence with
parents
Ø Maintain stationery supplies and order new as required.
Ø Generate reports of a routine nature when required
Ø Sort and distribute post.
Operate outgoing postal system.
Ø Input data onto the SIMS system - maintaining pupil and staff
records as required.
Ø Provide administration support for recruitment of new posts
to the school.
Ø Provide finance administration support, including; Purchase
Orders and Invoices, checking deliveries against despatch notes, supplier
queries, preparation for BACS payments, etc.
Ø Any other duty relevant to the post
The Administration
Assistant will be required to safeguard and promote the welfare of children and
young people and follow school policies and the staff code of conduct.
