Administration Assistant job summary

You will be part of a small team that work in a dynamic environment, managing a wide range of administrative tasks and providing excellent customer service for staff, pupils, parents and visitors. You will be required to undertake the admissions process and maintain accurate records for in year admissions, enquiries and tours of the school for prospective parents.

You need to have excellent communication skills, be well organised and have experience using Microsoft packages. The successful candidate will be able to demonstrate competency in the use of IT such as Word, Excel and emails. Training will be given on a wide range of other school systems including Arbor.

- Undertake admissions processes including arranging tours, supporting transition tasks, on-boarding new children and maintaining accurate records for in year admissions.
- Complete attendance registers, contacting children’s parents/carers for absent children
- Creating termly club attendance registers, liaising with parents and booking children onto clubs via the MIS
- Ordering supplies, receiving deliveries and monitoring stock
- Inputting assessment data and administering some statutory returns
- Update manual and computerised records/management information systems
- Assist with organisation of events and school activities
- Provide administrative support eg photocopying, filing, emailing, completion of routine forms
- Undertake reception duties; signing in visitors, dealing with enquiries by phone or face-to-face
- First point of contact for sick pupils, liaise with parents / carers / staff

- To ensure that the responsibilities of the role are carried out in a way which reflects the mission and the values of the Trust
- To be aware of and observe all policies, procedures, working practices and regulations, and in particular to comply with policies relating to Child Protection, Safeguarding children, Equal Opportunities, Health and Safety, Confidentiality, Data Protection and Financial Regulations, reporting any concerns to an appropriate person
- To uphold our commitment to safeguarding and to promote the wellbeing of children.

- To comply with all reasonable management requests

Our interviews will always include relevant questions relating to child protection and/or safeguarding. The successful applicant will be required to undertake vetting checks including an enhanced DBS check.
