What skills and experience we're looking for

Main responsibilities:

o Provide a friendly and welcoming environment for all visitors, whilst maintaining the reception area to a high standard at all times.

o Greet and record visitors on site through our signing in system.

o Guarantee the safety and security of reception ensuring entry to the premises is controlled.

o Ensure that all guests and visitors have the appropriate identification to access the school.

o Interact directly with the needs of visitors to the UTC by undertaking general reception, email, data entry and switchboard duties, including emergency procedures required as part of our evacuation and fire policies.

o Maintain confidentiality, where appropriate. Respect the diversity of all visitors, meeting their individual need and making appropriate referrals.

o Liaise with Royal Mail and other carriers and maintain records and undertake clerical duties as appropriate to the needs of the services.

o Control and monitor central goods deliveries, advise on appropriate delivery points, and liaise with college staff regarding deliveries as required.

o Assist the Exams Officer in ensuring the effective handling of internal and external mail and packages through the efficient control of the mailroom, distribution and collection service.

o Assist the Chief Financial Officer with the administration of bursary applications, system orders and trip booking processes.

o Assist the Head of Business & Work Related Learning Lead with the administration of Y10 and Y12 work experience placements.

o To conform with the Health and Safety requirements relevant to the post. A Health and Safety induction will be arranged for the successful candidate.

o Accept responsibility for the implementation of the UTC’s Equal Opportunities policy.

o Accept responsibility for the implementation of the Child Protection Policy.

o Provide cover, if necessary, in the absence of the other receptionist.

Other Duties - The duties and responsibilities in this job description are not exhaustive. The post holder may be required to undertake other duties that may be required from time to time within the general scope of the post. Any such duties should not substantially change the general function of the role. Duties and responsibilities outside of the general scope of this grade of post will be with the consent of the post holder.

What the school offers its staff

Lincoln UTC is a specialist school for science, mathematics, and engineering. Our students, aged 14 – 19, enjoy a friendly, mature, and professional learning environment, which is underpinned by equality and supportive relationships, based on tolerance and mutual respect.

Our new receptionist will work closely with our existing receptionist, to provide a meticulously organised and welcoming area, ensuring the smooth running of this vital area of our school. Applicants should be competent with ICT systems, including Microsoft Office Suite, and have excellent attention to detail. Experience of working in education or in a reception area would be an advantage, however a professional and customer-focused approach as well as the ability to juggle priorities are essential requirements for this role.

We are a small school with 390 students on role presently, as such we have a relatively small staff team, 49 in total - 31 with teaching responsibility. With a team of this size, we will expect our new member of the team to have a ‘can do’ attitude, where we help one another both in and out of our specialist areas of responsibility.

Lincoln UTC is a unique learning environment. We are a 14 to 18 specialist college for science, technology, engineering, and maths. Most visitors to the college assume (wrongly) that we are either a selective or a fee-paying private school. This misunderstanding initially stems from the stunning buildings we are fortunate enough to work in. Our Victorian, listed building at the front is reminiscent of Hogwarts. To the rear of the site, our state-of-the-art laboratories and workshops are housed in an equally impressive, but totally contrasting, £9 million new build. The atmosphere within the college is just as impressive as the physical learning environment. Our students don’t wear uniform. They all (right down to Year 10) wear business dress. They look like adults and they behave like adults. This is an unusually calm, purposeful, and respectful learning community.

Lincoln UTC is much smaller than most schools with 400 students, 26 teaching staff and a senior leadership team of just 3 people. The college is always over-subscribed but has no desire to grow beyond its current numbers. As a specialist college we offer fewer subjects than most schools (excelling in the ones that we do) but we do offer students an exceptionally wide range of other (work-related) experiences and opportunities.

When Ofsted inspected the UTC in June 2019 (two good and three outstanding judgements), they commented on the ‘strong and supportive culture and the exceptionally high staff morale’. Pupil behaviour and conduct were described as ‘impeccable’. They went on to say that, ‘the behaviour of pupils is outstanding. Pupils have exceptionally positive attitudes towards their learning.’
