Administrative Assistant – Rooming and Student Support

Hours 37 hours per week, worked over 5 days - Monday to Friday Full year (not term time only)

Grade Spine Point 6 to 10

Salary £24,575 to £26,666 per annum

Responsible to: College Office Co-ordinator

Responsible for: Administration of external and internal premises bookings, alongside general administrative tasks within the main College Office.

Main Purpose of the role

As part of the General Office team providing general administrative and reception support to staff, students and visitors to the College with the specific task of administering both external lettings and internal room bookings.

Bookings and Rooming

Working in co-ordination with the Senior Curriculum Manager – Timetabling and Rooming the post holder will:

1. Be responsible for responding to internal room booking enquires and organising alternative rooming as required, using the colleges automated booking system

2. Maintain a Bookings and Lettings Diary and liaise with the Senior Curriculum Manager – Timetable and Rooming, relevant Heads of Departments, Health & Safety Officer, premises staff and Caretaking team as appropriate.

3. Liaise with Heads of Departments for bookings; in particular Heads of Drama and Sport & P.E.

4. Assist the Senior Curriculum Manager – Timetabling and Rooming in managing classrooms, including during the Winter and Summer examination series, and liaise with Heads of Departments on alternative rooming.

5. Respond to external lettings enquires, including studios and halls, providing information on availability and costs and Invoice clients for external booking

College Office / Student Services

1. Assist with manning the front desk/window as required and directed by College Office co-ordinator, providing information and support to students, staff and visitors to the College.

2. To cover switchboard and receptions duties when required or as part of a rota.

3. Administration and processing of payments in line with College financial procedures i.e. exam payments, trips & visits, stationery etc.

4. Process and distribute internal and external post, in a timely manner, via the appropriate carriers and internal systems.

5. Deal appropriately with student references in line with College procedures.

6. Assist with exam arrangements such as the collection and return of student mobile phones

7. Provide additional support to College Office colleagues as required, particularly in times of annual leave or absence.

8. Such other duties as may reasonably be requested by the Principal or delegated alternate.

The post holder is required to work in accordance with both organisational and personal responsibilities for data protection as outlined in College policy documents.

The salary will be dependent on qualifications and experience. Sixth Form College sector conditions of service apply, which are very similar to schools’ sector arrangements and salaries are reviewed by national negotiation with effect from 1st September each year.

College support staff are eligible to join the national Local Government Pension Scheme.

Person Specification

Essential

1. Good communication skills, both written and verbal, with the ability to communicate at all levels

2. Knowledge and experience of using Microsoft Office, including Word, Excel and Outlook

3. Accuracy and attention to detail

4. Able to prioritise your own workload and remain calm under pressure

5. Team player with a positive, flexible attitude

Desirable

1. Previous experience in a front line, reception role

2. Previous experience in an educational setting

3. Proven knowledge of a bookings system and/or rooming/timetabling
