Administrator job summary
Mayflower Community Academy and Ford Primary School are seeking a dedicated and highly organised School Administrator to join the office team. This is an opportunity to become the first point of contact for our schools, providing a professional and efficient administrative service to our pupils, staff, parents, and visitors.
This role will have time dedicated to supporting both schools.
Key Responsibilities:
- Acting as the first point of contact at reception - welcoming visitors, answering calls, and handling enquiries.
- Maintaining accurate pupil records and data across systems such as Arbor.
- Supporting the day-to-day financial administration - collecting payments for dinners, trips, and clubs.
- Communicating clearly with parents and carers via letters, emails, and text messaging services.
- Managing the school newsletter, meal ordering system, and before/after-school club administration.
- Supporting pupil attendance processes, including the School Census and communication with our Education Welfare Officer.
- Overseeing the administration of our Nursery, including session management.
- Providing general administrative support including filing, photocopying, and supporting the Office Manager as required.
We’re Looking For Someone Who:
- Has excellent communication and interpersonal skills - calm, courteous, and professional at all times.
- Is confident using IT systems such as Microsoft Word and Excel.
- Can manage competing priorities and meet deadlines with strong attention to detail.
- Understands the importance of confidentiality and safeguarding in a school setting.
- Brings energy, enthusiasm, and a sense of humour to their work.
Essential Requirements:
- GCSEs (or equivalent) in Maths and English (Grade C/4 or above).
- Proficient in general office software and email.
- Commitment to safeguarding and promoting the welfare of children.
Desirable:
- Experience working in a school environment.
- Knowledge of Arbor or similar MIS.
- Business Administration Level 3 qualification.
- First Aid and/or Safeguarding training.
