Administrator Assistant job summary
ADMINISTRATION ASSISTANT
Salary: Grade E
Hours: 37 hours per week, term time plus 5 days
Responsible to: Attendance Officer and Data Manager
Job purpose: To work as part of the administration team in supporting the Academy in attaining its aims and objectives, by providing an effective administration service to support attendance processes .
Main Objectives:
Daily monitoring of attendance and on-going trends using SIMs database, quality assure accuracy.
Monitoring the completion of registers, ensuring they are accurate
Prepare attendance reports
Monitor ‘vulnerable students’ attendance and follow safeguarding procedures as necessary.
Maintain and monitor the Persistent Absence register.
Managing the collation of attendance/reward certificates (100% each term).
Support the production of monthly attendance figures for SLT to include overall attendance / PA register / develop use of attendance groups e.g. FSM, SEN, Ethnicity, LAC & gender. Comparison to National data and to include home visit information and letters sent to date.
Support the production of fixed penalty notices for Local Authority. Plan and produce Section 9 statements for court. Prepare paperwork for parent contract meetings.
Monitoring of unauthorised absence levels. Respond to any unauthorised absences with communication to parents and/or student. Communication by letter or phone.
To operate daily punctuality processes and drive importance of punctuality with pupils, parents and carers
To issue stage- related attendance communications
To liaise with Local Authority as directed by Attendance Officer and SLT
To support parent/carer meetings as directed by Attendance Officer, including home visits where necessary.
Operate systems for recording, storing, retrieving and analysing information of student attendance.
Other Responsibilities:
To ensure all duties and responsibilities are discharged in accordance with the Academy’s health and safety at work policy.
To participate in the Academy’s appraisal system and procedures, ensuring that performance standards and targets are set and met within the agreed timescale.
- Any other reasonable duties as commensurate with the grading of the post.
- Ensure confidentiality at all times.
- To be aware of Health and Safety and adopt best practice in this respect at all times.
