We seek to appoint an administrator to work under the instruction/guidance of the Exams Officer / Office Manager to support with general administration for the school including the preparation and running of the internal and external exams for both school and sixth form students. The position is temporary for 1 year which will be reviewed and is available immediately.

With an NVQ level 2 or equivalent in a relevant discipline and previous clerical/administrative experience, you should have good communication and IT skills. Experience and knowledge of school exams is preferred but not essential. The school’s management information system is Arbor and we also use Exams Assist.

Your key responsibilities will include:

  • Assist with general staff queries and requests.
  • Take a lead in answering the main school telephone line, answering queries and taking/relaying accurate messages.
  • Escort visitors and students to main reception when required.
  • Maintain manual and computerised records/management information systems.
  • Produce lists/information/data as required.
  • Undertake typing, word-processing and other IT based tasks.
  • Undertake administrative procedures.
  • Cover for absent staff.
  • Dealing with all queries and emails within the exams inbox, co ordinating responses where needed.
  • Be the first point of contact for parent / student exams queries received by phone, ensuring you escalate complex queries to the Exams Officer or Deputy when needed.
  • Collating Exam Invigilation availability and entering into Exams Assist to support with the internal and external exams.
  • Creating, printing and correctly storing exam paperwork for internal and external exams.
  • Supporting the Exams Officer and Deputy in ensuring all correct communication is issued to parents and students in advance of the exams.
  • Organising and maintaining all exam boxes, including replenishing the stock as needed.
  • Ordering and keeping stock of all exam access arrangement material as per the current needs of the students.
  • Organising and correctly storing the exam certificates when they are received.
  • Logging and correctly storing the Reader Pens.
  • Assist in the set up of rooms for all internal and external exams, including all correct signage is prepared, displayed and returned after the exams.
  • Assist with the production of post results day information and envelopes for candidates.
