We are looking for an organised and reliable Administrative Assistant to support the smooth running of our school office and assist staff, pupils, and parents with a range of administrative tasks.
The Role:
this is a new role, and as our newly established Business Support Administrator, you will play a key role in supporting the school’s day-to-day operations by managing communication, maintaining records, and assisting with various administrative duties. This role is ideal for someone with experience in office administration who enjoys working collaboratively within a team.
Key Responsibilities:
- Update and maintain manual and computerised record/information systems accurately.
- Manage and organise completed forms and documents from parents.
- Assist with the management of the school’s email inbox, ensuring timely responses and forwarding messages to relevant staff.
- Update the school calendar.
- Organise and distribute incoming and outgoing post.
- Provide administrative support to staff as needed, including booking training courses.
- Order, monitor, and manage office stock, ensuring best value according to purchasing procedures.
- Act as a first point of contact for parents and visitors, handling telephone and face-to-face enquiries professionally and efficiently.
- Control access to the school in line with safeguarding procedures, including signing-in visitors and issuing passes.
- Write and send professional email communications that reflect the school’s vision and values.
- Enter data into the school’s finance systems, produce reports, and carry out financial administration tasks outlined in the job description.
- Support HR administration as outlined in the job description.
- Follow all relevant school policies including data protection, safeguarding, and health and safety.
- Undertake training and development activities to enhance skills and knowledge relevant to the role.
Is this you?
- Experience in an administrative or office support role, preferably within an educational or similar environment.
- Strong organisational skills with attention to detail.
- Excellent communication and interpersonal skills.
- Ability to manage multiple tasks efficiently and work collaboratively within a team.
- Proficient in using office IT systems and software, including MIS systems (SIMS experience is desirable but not essential).
- Understanding of safeguarding, confidentiality, and data protection principles.
- A professional and approachable manner with a commitment to supporting the school’s vision and values.
