Clerical and Welfare Assistant job summary
The role will be for 27 hours per week -
Monday – 8.30am – 4.00pm with a half an hour lunch break
Tuesday – Friday – 10.00am – 4.00pm with an hour lunch break
Clerical Assistant
Maintain the financial and administrative systems within the school office. These include procedures associated with the school fund, processing invoices, maintaining petty cash, ordering stationery and other resources as requested.
Maintain computerised systems for pupil data, achievement records, admissions and attendance; verifying data, identifying and rectifying anomalies and producing all reports and management information as required.
Staff the school switchboard and reception responding to queries from parents and visitors, taking messages and passing calls to colleagues effectively and efficiently.
Undertake word processing of school correspondence, procedures and documents to support the Headteacher and teaching staff of the school, ensuring that deadlines are met and confidentiality maintained at all times.
Support class teachers with photocopying, organisation of resources, and other administrative requirements.
Provide cover, as requested in the medical room, contacting parents in the event of injury, sickness, administering basic first aid and maintaining all necessary records
Undertake general clerical duties including opening and distribution of mail, filing, photocopying, maintaining school social media, e mailing etc.
Make organisational arrangements as required such as those in relation to school visits and trips, school photographer, medical checks.Welfare Assistant
Provide First Aid and pastoral care and assistance for children who are upset, ill, injured, or require personal hygiene-related care in order to minimise distress. Control and administer medicines and contact parents as appropriate ensuring at all times that the relevant rules and procedures are adhered to.
Keep up to date and accurate records of pupil sickness, drugs administration, inoculation, school meals etc.
Maintain stocks of First Aid materials and stationery, above minimum order levels, raise orders for these, seek school authorisation and ensure that proper procedures are followed.
Liaise with the School Nurse and visiting Medical Services in relation to routine medical screenings and institute the necessary arrangements within the school.
Contribute to and support plans to meet the needs of pupils with special educational needs, working with class teachers and the SENCO as necessary.
Accompany pupils to hospital, in the event of an emergency and ensure that parents/carers are informed.
