Director of Business Operations job summary

Professional Duties:

In addition to carrying out the professional duties as set out in the job description in accordance with the:

  • School's aims, objectives, key priorities, values.
  • Policies and risk assessment of Southfield School.
  • Statutory documentation in relation to business acumen.
  • Statutory documentation in relation to Safeguarding and Child Protection.

SLT Responsibilities:

  • Support the vision, ethos and policies of the school which secure effective compliance of all aspects across school.
  • To attend SLT, Internal Professional, Teachers and staff meetings as required.
  • Ensure the effective and proficient use of data from a variety of sources, both internal and external, in the process of the smooth running of all operational and strategic aspects across school.
  • Assist in the preparation, implementation, and monitoring of the School Improvement Plan.
  • Keeping up to date with developments in educational practice and statutory requirements.
  • To lead, motivate, support, challenge and develop all staff to secure continual improvement including his/her own continual professional development.
  • To support the Headteacher in accounting for the efficiency and effectiveness of the school to all relevant stakeholders.
  • Working with the Headteacher to contribute to a strategic view for the school in its community and analyse and plan for its future needs and further development within the local and national context.
  • Demonstrating high standards of personal integrity, loyalty, discretion and professionalism.
  • To ensure strong relationships with all stakeholders.

Finance

  • To ensure that public funds are spent and accounted for in accordance with specific regulations.
  • To ensure policies are reviewed regularly and implemented and meet statutory frameworks.
  • To oversee all aspects of payroll.
  • To report to Governors as required.
  • Produce timely and fully costed proposals for school improvement and development.
  • Ensure an effective link between the school budget and school development plan to sustain school development.
  • Plan for and implement new initiatives as appropriate for the school.
  • Provide strategic support for the Headteacher and governing body on all aspects of school business management.
  • Overall responsibility for financial resources management.
  • Prepare the school budget for approval by all vested parties and prepare and oversee year end.
  • Manage budgets and monitor them against accounts.
  • Prepare bids for attaining external funding in income generation.
  • Prepare all financial returns for any authorised external agencies.
  • Liaise with HCC, bank, HfL finance, governors, financial advisors as required.
  • Use financial management information, especially benchmarking tools to identify areas of relative spend, access trends and compare spending with similar schools. Advise stakeholders accordingly.

Procurement

  • To ensure that purchasing is made in accordance with funding agreement and government regulations.
  • To ensure policies are reviewed regularly and meet statutory frameworks.

Manage procurement and tendering of Capital Projects.

Negotiate, manage, and monitor contracts, tenders and agreements for the provision of support services.

Mange ordering processes in ensuring evaluation of suppliers, negotiating deals and ensuring value for money.

  • Operational management of ordering and process delivery.
  • Oversee the school asset register and disposal of goods no longer fit for purpose.


People

  • Responsibility for the day-to-day management of staff.
  • Compliance with relevant legislation in the management of staff.
  • To ensure effective collaborative working across all stakeholders.
  • To ensure policies are reviewed regularly and meet statutory frameworks.
  • To ensure the SCR is compliant at all times.
  • To undertake school workforce and pupil census.
  • Lead in the training of development of financial, administrative staff.
  • Ensure teaching, admin, premises, and support staff work effectively together.
  • Working with the Headteacher and Director of Operations, lead and manage on personnel matters to all staff, including absence management.
  • Responsibility for general personnel matters and for all staff contracts.
  • Maintaining training records for all staff and ensuing compliance.
  • Maintain confidential staff records and to ensure that staff records held in the school are kept confidential at all times.


Recruitment

  • To ensure policies are reviewed regularly and meet statutory frameworks.
  • To oversee all aspects of recruitment in meeting statutory compliance.
  • The administration for all staff recruitment and selection and for contracts of employment.
  • The statutory checks for all new staff including qualifications, references and contracts of employment.

IT

  • To ensure that the school has robust IT infrastructure and devices to operate effectively in meeting the needs for all stakeholders.
  • To ensure policies are reviewed regularly and meet statutory frameworks.
  • To meet digital and technology standards.
  • Develop medium- and long-term strategic IT plans for whole school identifying and assessing new technologies.

Resilient Business Operations and Risk Management

  • To prevent, respond to and recover from a disruption to critical business operations.

Business Continuity

  • To ensure that process and systems are robust to ensure business continuity at all times in meeting the needs of all stakeholders.
  • To ensure policies are reviewed regularly and meet statutory frameworks.


Cyber Security

  • To ensure that systems are as resilient as possible by implementing digital safeguards and staff training.
  • To ensure policies are reviewed regularly and meet statutory frameworks.


Data Protection

  • To comply with legislation in the handling and storing of data.
  • To ensure policies are reviewed regularly and meet statutory frameworks

Marketing

  • To ensure that all marketing is up to date and will attract the best candidates.
  • To ensure that marketing is attractive to all stakeholders including pupils, parents.
  • With the admin team. Deliver a Public Relations service to the school both externally and internally, including development of external links and opportunities for marketing.
  • Data
  • To provide timely data as required.

Whole School Administration

  • To line manage the administration team in ensuring the administration needs for the school are fully met including specific day to day functions.
  • Review and manage administrative systems ensuring processes and communications are increasingly effective, implementing mew systems as appropriate.

Other

  • To attend relevant governors’ meetings and present reports as required.
  • To work with the admin team and Clerk to Governors in delivering appropriate liaison with school governors, including arranging meetings and administrative support as required.
  • Provide a first-class service to all stakeholders.
