Finance Administrator job summary

St Barnabas Multi Academy Trust are looking for a Finance Assistant to support the Finance Manager, budget-holders, non-financial colleagues and external agencies in a pro-active, efficient and supportive manner. This role is a 37 hours per week term time only position, plus inset days plus a further 2 weeks. The successful candidate will play a key role in the operation of the Trust’s financial systems, supporting and monitoring school purchase order processing and checking in line with the Academies policy along with raising MAT purchase orders.

To act as first point of contact for the Trust’s telephone enquiries and visitors to the Finance Office.

To manage the Finance email inbox and assign tasks to relevant parties for action.

To liaise with suppliers to confirm bank details, query invoices or get copy invoices.

To add to the collective responsibility for the Finance Office’s full adherence to the Academy’s security procedures, ensuring security of all the monies and financial information.

To be a point of contact for questions in relation to internal and external auditory processes.

To ensure the processing of authorised orders in accordance with the agreed priorities and deadlines set by the Finance Manager and in accordance with the working practices of the finance office. To obtain verification of receipt of goods and services before processing to payment.

To contact suppliers of goods and services to obtain information relating to prices, orders, deliveries and payments as requested.

To check and sort, for distribution to schools, deliveries to the office.

To collate financial information, produce financial reports and statistics as relevant to the role.

To assist in collating information for the BACS run and ensure all invoices are paid prior to due dates as required.

To be responsible for maintaining the purchase ledger.

To operate the academy accounting systems to be able to support other finance and non-finance users liaising closely with administrators in each of the schools to support academy operations and resolve any issues.

To maintain confidentiality of information acquired in the course of undertaking duties for the department.

To be responsible for your own continuing self-development, undertaking training as appropriate.

To undertake other duties appropriate to the grading of the post as required.
