Finance Assistant Apprentice
Salary: £6.40 per hour, increasing to £7.55 April 2025 (based on the National Minimum Wage for an apprentice in their first year)
Working hours: 37 hours per week Term time only plus inset days and 2 weeks school holiday working, 41 working weeks a year. Daily hours to be confirmed

Duties and Responsibilities
Key Responsibilities
- Support the sourcing of all resources, equipment, stock, books and general supplies in line with academy requirements to achieve value for money.
- Assist with the processing of purchase orders, checking for accuracy and distributing to suppliers and budget holder, as required
- Assist with the processing of all invoices, checking to purchase orders and goods received notes and ensuring compliance with Financial Regulations
- Assist with the processing of all income, staff expenses and credit card transactions to the finance system
- Assist to ensure all returns are made timely and refunds or credit notes are received
- Assist the Finance Officer’s with routine BACS payments
- Assist with a robust filing system is maintained for paper records, with invoices uploaded to finance system
- Checking and reconciling Statements received from suppliers to finance system
- Work closely with school Office Managers to ensure correct processes and procedures are followed in line with Financial Regulations and guidance provided by the Finance Officer
- Assist with the administration of school trips finances in liaison with school offices
- Assist with month end procedures such as journal postings as required
- Assist in the monthly review of outstanding POs, GRNs, invoices, aged debtors and creditors
- Assist in raising Sales invoices, as appropriate, and ensuring prompt payment, chasing as necessary
General
- Participate in the performance and development review process, taking personal responsibility for identification of learning, development and training opportunities, in discussion with Line Manager
- Comply with individual responsibilities, in accordance with the role, for health and safety in the workplace.
- Ensure that all duties and services provided are in accordance with the Trust’s Equality and Diversity Policy.
Technology - Good IT skills including the ability to use Microsoft packages e.g. excel, word and Powerpoint
Customer service - Commitment to first class customer service and an ability to behave calmly in a courteous and appropriate manner at all times
Working with People - The ability to converse at ease with other Trust Staff, suppliers, creditors etc
Personal Qualities
- Understand the need for confidentiality when dealing with sensitive information
- Reliable and ability to work flexibly and cooperatively as part of the team under the direction of the office manager
- Confident yet sensitive and discreet in dealing with visitors to include parents and students.
- Ability to work with staff at all levels and have good communication skills
- Be committed to safeguarding and promoting the welfare of children and young people
Essential Qualifications
- English and Maths at GCSE level A-C (4-9)
- Functional skills equivalent
