Job Description


Job Title:

HR Trainee / Apprentice

Grade:

H1-H2: 2-5 FTE Pre Pay Award: £22,366-£23,500

Hours/Weeks:

Minimum of 25 hours a week - Minimum 39 weeks / year

Contract Type:

Permanent, subject to 6 month probationary period

Job Purpose:

  • To support the Academy with the administration of HR.

  • To contribute to the overall ethos, work and aims of the Academy.


Main Responsibilities:

Human Resources

  • Assist the School Business Manager with all aspects of the development and effective operation of the HR function within the School

  • Support the human resources operations and procedures by, scheduling appointments and supporting orientation for new employees

  • Assist with day to day operations of the HR functions and duties including scheduling and conducting exit interviews, absence trigger meetings, return to work interviews, carrying out risk assessments as necessary

  • Compile, set up, maintain and update employee records and personnel files

  • Process documentation and prepare reports relating to personnel activities e.g. staffing, recruitment, training, performance evaluations, capability

  • Attend and take minutes at meeting including recruitment and personnel meetings, exit interview and return to work interviews

  • Assist successful candidates with the on boarding process, including preparing documents and coordinating orientation agendas and welcoming new staff

  • Contribute to the Westfield Newsletter with latest HR updates


Payroll

  • Provide data for payroll preparation e.g. Absences, salary, annual leave

  • Collate and check timesheets for monthly payroll runs and input on Finance platform

  • Update personnel file for payroll updates

  • Support the HR and Payroll Officer to review agency rates and fees

  • Check agency timesheets and provide relevant information to Finance


Recruitment and Staff Absence Management

  • Working with SLT to identify long term recruitment needs and vacancies within the Academy

  • Perform recruitment duties such as scheduling interviews, updating the calendar accordingly, answering phone calls, and monitoring emails

  • Prepare and post job advertisements online

  • Screen candidates by performing background checks and verifying their qualifications and experience

  • Following up with candidates during the recruitment process, like shortlisting call backs or rejection emails

  • Assisting with the interview process including greeting interviewees onsite

  • Resolving issues such as interview cancellations swiftly

  • Working with SLT to identify and arrange short term absence cover needs of the Academy

  • Update systems for latest absence data

  • Update SIMS with planned absence information ready for Senior leaders

  • Support the HR and Payroll Officer to manage the planned absence process

  • Support the HR and Payroll Officer to manage the return to work process

  • Publish fortnightly cover allocations for all staff


Other Duties

  • Participate in training and development activities/programmes and attend meetings as required, sharing experiences and skills with others.

  • Undertake other such duties at the discretion of the School Business Manager as may reasonably be required due to the changing needs of the Academy.

  • Comply with, and assist with the development of, policies and procedures, and report all concerns to an appropriate person, in respect of: child protection, health, safety, and security, confidentiality, and data protection.


The duties and responsibilities listed above describe the post as it is at present. This role will be reviewed annually as part of the performance appraisal process and the post holder is expected to accept any reasonable alterations that may from time to time be necessary.
