Human Resourses Coordinator job summary

Core Purpose

Provide efficient and effective HR administrative services for academy administered elements of the employee lifecycle. ​

Main duties and responsibilities

The administration of academy administered aspects of recruitment and selection with agreed procedures and timescales, including:​

○ Process adverts for identified positions

○ Undertake appropriate pre-interview vetting, including obtaining references, online searches and ensuring completion of criminal declaration forms

○ planning interviews (arranging cover of staff, supervising students for school tours and panel interviews, organising refreshments, room booking as necessary)​

○ Collating interview questions and tasks where appropriate

○ providing information to shortlisted applicants and appropriate member of SLT and interviewers

○ Management of the applicant tracking system

○ Providing regular updates to candidates

○ Collation and storage of recruitment documentation in line with Data Protection/GDPR regulations

Carry out school administered aspects of new staff appointments, current staff changes and leavers, including:​

○ Processing new appointment documentation

○ obtaining appropriate information and submitting DBS checks​

○ carrying out identity and Right to Work in UK checks​

○ qualification verification of teaching staff and support staff

○ Verification of teaching staff QTS, QTLS and prohibition checks using Teacher Services​

○ Ensuring completion of Childcare disqualification checks (Primaries)

○ Obtaining overseas criminal records checks where appropriate

○ Obtaining overseas teacher professional checks where appropriate

○ submitting pre-employment health checks​

○ communicating contract changes to the Trust’s HR Administrator​

○ notifying the Trust’s HR Administrator of any leavers​

○ Assisting with the collation of risk assessments for individual staff

○ Providing support and signposting staff to relevant services (Occupational Health/Employee Assistance Programme etc) where required

○ Supporting school leaders with first line queries relating to absence management procedures

○ Delivering new starter induction to all staff

○ Monitoring training records to ensure completion by all staff upon start and then annually

Administer the probationary period by tracking completion of reviews and ensuring confirmation of appointment letters are issued.​

Compliant maintenance of Single Central Record for all staff, Governors, volunteers, exchange host families, regular visitors and contractors at the school (including DBS information, identity confirmation, qualifications, entitlement to work in the UK, prohibition and Section 128 checks) and submission for annual audit.

Supporting SLT with first line absence management in accordance with Trust procedures, including submitting Occupational Health referrals and implementing Attendance Improvement Plans

Maintain individual personal files and computerised records for employees, in accordance with agreed procedures, ensuring that all employee data is accurate and up-to-date and that confidentiality is fully respected.

Assist in the preparation for Annual Workforce Census using information ensuring checking procedures carried out prior to submission

Submit monthly timesheet, duties and additional payment information to payroll

Deal independently with routine correspondence and enquiries on a range of HR matters, ensuring that all information provided is accurate and up-to-date and that confidentiality is fully respected

Obtain Letters of Assurance to confirm that contractor/agency organisations have undertaken all employment and right to work vetting checks and that their staff have received safeguarding training and annual updates according to KCSIE regulations. Update the SCR accordingly.

Escalating casework, absence management, probation and performance issues to HR link and school leadership team in a timely manner

Contributing to HR team initiatives such as improvement of work flows, systems and procedures

The Beaconsfield School is situated in the Old Town of Beaconsfield. The school is well resourced and creative in our curriculum. Hours per week: 30 - 33 hours per week

Work Pattern Monday - Friday

Weeks worked: Term time + INSET Days and 2 weeks holiday working
