  Job Description 

  Purpose of the role: 
 
This role requires a flexible and proactive approach to the generation of accurate and timely management information, an extensive knowledge of funding rules and high level skills in producing reports which are easy to use and understand for a range of audiences. 
 
Lead the management of learner data systems for the college, encompassing curriculum planning, creation and maintenance of the course file, production of ILR and other funding returns, learner completions and outcomes. 
 
To ensure that data and information required by all stakeholders and funding bodies and agencies is accurately prepared, submitted and available on a timely basis. 
 

Key Tasks & Duties:
 
 
 
1.         To provide leadership, vision and management for the department ensuring that a high quality service provision is provided to all areas of the Academy. 
 
2.         To lead and manage the Management Information Services (MIS), Exams and support staff involved at key times during the academic year. To ensure a responsive service is provided, which is led by the needs of students and the curriculum. 
 
3.         To maintain the central Academy learner databases, ensuring that both course and learner data is held securely, with integrity and meets all regulatory and statutory requirements and effectively manage the interface with and use of other reporting tools, including registry systems. 
 
4.         To manage and deliver timely and reliable information in accordance with agreed plans and schedules, including reports from all corporate MIS systems. 
 
5.         To manage visits from internal/external auditors being point of contact for all learner funding auditors, ESFA, JCQ and Ofsted, providing accurate and timely information and carrying out any necessary follow ups. 
 
6.         To ensure timely and accurate ILR returns to Academy funding bodies and other stakeholders as required, ensuring the Academy is compliant with funding rules and regulations. Ensuring all conditions of funding are met and qualifications recorded with awarding bodies. 
 
7.         To manage the registration and administration of all examinations and awards taken in the Academy ensuring the smooth operation of the examination system and minimising the administrative burden on teaching and learning staff. 
 
8.         To work with the VP Curriculum in the detailed day to day administration of all matters relating to the preparation, planning execution and conclusion of internal/external examinations and data collection/entry for assessment. 
 
9.         Attend and represent the Academy at sector specific groups to maintain sector knowledge and professional awareness of developments surround learner information management. 
 
10.      To provide qualifications and funding advice to SLT, curriculum managers and to develop and train relevant colleagues in the use of and interface with MIS systems and exam procedures and protocols as instructed by JCQ. 
 
11.      Manage the set-up and maintenance of timely and accurate course file data to ensure that accurate and timely information is available to Finance for budget/target setting and the prospectus is available for marketing purposes. 

 

12.      To manage and develop and effective and efficient processes and procedures for the capture and maintenance of learner data ensuring that information on eligibility is robust and meets audit rules. 
 
13.      To manage user access rights to the learner database to ensure that all inputs are made by appropriately trained and authorised staff in accordance with GDPR legislation. 
 
14.      To develop and implement an internal audit process which regularly monitors the accuracy and hygiene of the learner and course data, and which reports regularly to senior managers. 
 
15.      To work closely with Director of Student Service and Director of Careers and Partnership to ensure innovative practices are made such as the development of capturing enrolment electronically, whilst continuing to meet audit requirements 
 
16.      To maintain documentary evidence to support the data as required by statute and audit regulations. 
 
17.      To participate actively and flexibly in a range of Academy-wide activities, such as duty rotas, enrolment and marketing events and staff and student activities. 
 
18.      To participate in training and team development activities, to update knowledge and skills. 
 
19.      To act as budget holder for MIS. 
 
20.      To encompass and promote the Academy mission, purpose and strategic aims in all aspects of MIS. 
 
21.      To undertake CPD in order to meet the requirements of the role and any other CPD identified through Academy procedures.
