Reporting to the Office Manager, the role will support the administration of the College, as part of the Office and Reception teams. The position will run for Monday-Friday 12.00pm - 5.30pm, each day.

Job description

Duties for this job will include (but are not limited to):

  • Part of an administration team based in the Administration Office and Reception, to ensure specific work programmes are completed successfully to agreed deadlines.
  • Be able to work within both the office and reception team and provide first aid cover when required
  • Ensuring that telephone and face-to-face enquiries from staff, students, parents, and visitors are dealt with promptly and professionally.
  • Provide routine clerical/administrative support e.g. photocopying, filing, faxing, emailing and responding to routine correspondence.
  • Maintain manual and computerised records/management information systems.
  • Produce lists/information/data as required, e.g. pupil data.
  • Maintain and collate pupil reports as requested.
  • Undertake routine administration of school lettings and other uses of school premises when required.
  • Provide general advice and guidance to staff, pupils and others.
  • Undertake routine financial administration e.g. processing orders, receipt, recording and banking

of monies due to the school.

  • Basic first aid.
  • Be aware of and comply with policies and procedures relating to child protection, health, safety

and security, confidentiality and data protection, reporting all concerns to an appropriate person.

  • Contribute to the overall ethos/work/aims of the school.
  • Appreciate and support the role of other professionals.
  • Attend and participate in relevant meetings as required.
  • Participate in training and other learning activities and performance development as required.
  • Demonstrate, give advice & guidance to, or train other employees, students or trainees on own

duties.

  • Keeping the office organised, including all post, student records and other sensitive documents are dealt with and stored appropriately.
  • Completion of annual Review & Development process with the team.
  • Completion of end of term and academic year processes.
  • Planning of annual work schedules to ensure all administration tasks are completed within a timely matter
  • Liaison with wider College staff to ensure work provided is delivered efficiently.
  • Assist with the preparations for College events, projects and functions, including some occasional early evening and weekend work.
  • To maintain a high degree of confidentiality with regards to issues concerning members of staff and students.
  • To respond positively with tact, sensitivity and awareness to students and parents in relation to duties undertaken.
  • To complete tasks and projects given by the office manager, within the specified time frame
  • To be committed to safeguarding and promoting the welfare of children and young people and follow the safeguarding policy.

Any other appropriate duties and responsibilities relevant to the post as directed by the Chief Executive Officer, Principal, Vice Principals, Assistant Principals or Business Manager.
