Office Manager (Junior school) job summary

Coppice Academy is a ‘Good’ school at the heart of the community. Situated just minutes off Junction 5 of the M42 and only a mile from the town of Solihull, visitors are astounded by our ‘polite and well mannered pupils’. Our recent Ofsted report in June 2023 spoke about ‘Pupils who are ‘keen learners and enjoy coming to school’ where leaders ‘have created a purposeful learning atmosphere’. As an innovative school always striving for better there is a constant drive to achieve maximum personal and academic potential and as part of a Multi Academy Trust there is the opportunity for exceptional training and the sharing of knowledge and ideas.

This is a full time, 37 hours per week, Monday to Friday, term time only appointment (39 weeks per year). Hours of work are: Monday, Tuesday, Thursday (8:00am to 4:00pm) and Wednesday, Friday (8.00am – 3:45pm).

We are looking to appoint an enthusiastic and highly motivated Office Manager to lead our friendly office team in our popular junior school.

The key responsibilities for this post are as follows (a comprehensive job description is available):

Responsible for the efficient operation of school administrative functions and systems, ensuring an orderly and efficient working school office.

Assist the Associate Headteacher and SLT in dealing with administrative support functions in relation to the induction of new administrative staff, i.e. interviewing, basic work counselling, monitoring of progress, recommendations for continued employment to the Associate Headteacher.

Providing secretarial/administrative support to the Associate Headteacher, Senior Leadership Team and school staff

Ensure all visitors are warmly greeted and appropriately checked in line with safeguarding procedures

Maintain and update school records, completing reports required from the Trust/LA, sending communications to parents, Census preparation and completion

Deal with all parents, families and pupils in a positive, calm and professional manner

Provide assistance on recruitment and HR matters, i.e advertising vacancies, arranging interviews, dealing with references, arranging supply cover and completion of returns for staff amendments and sickness and absence.

Manage and maintain all pupil and staff records on Arbor and itrent, ensuring filing of all associated paperwork.

Manage the school single central record (SCR) - ensure that DBS checks and all checks linked to Safer Recruitment are completed and documented as required by current DfE guidance, in respect of all staff and volunteers within the school. Ensure the relevant information is kept centrally and available for inspection as necessary.

Admissions - Liaise with the Admissions department and the Associate Headteacher to ensure all pupils applying for a place at the school are dealt with appropriately

Supervise administrative staff on a day-to-day basis including managing their personal development and performance management.

Qualities required:

A minimum of Level 3 qualifications (A Levels, BTec or equivalent) plus 5 GCSE’s (or equivalent) to include English and Mathematics at a minimum of Grade C/Level 5.

The ability to prioritise workload effectively and efficiently, completing high volumes of workload as and when demands require is essential.

The ability to manage an administrative team.

Show resourcefulness in dealing with competing deadlines and priorities in a busy school environment.

Show a highly organised and calm professional attitude at all times showing a proactive not reactive attitude to the role.

Complement high quality work using MS Office in a timely and precise manner. Experience of Outlook is essential
