Office Manager job summary

Roles and responsibilities will include:

  • Line manage, direct and support the school office team and associated administration, ensuring the smooth and effective running of a busy front office
  • HR admin and management for the school in line with the Trust’s HR Shared Services and overseen by the Trust HR Manager
  • Support the Site Team to ensure all H&S regular monitoring checks are completed
  • Ensure the school is compliant with the requirements of data protection legislation, and act as the schools Data Protection Lead
  • Maintain the schools MIS (Management Information Systems/Arbor) including pupil admissions and leavers
  • Provide personal, administrative and organisation support to other staff and the governing board.

Qualities we are looking for:

  • A people person - able to demonstrate excellent interpersonal and communication skills both oral and written and a willingness to foster positive relationships within school and the wider community.
  • Positive, enthusiastic, with a ‘can do’ flexible approach and keen to work as part of a busy and dynamic school.
  • Highly organised with an excellent eye for detail and ability to multi-task.
  • Able to see the bigger picture and do as much as possible to help others do their job.
  • Excellent written and spoken English.
  • Calm and empathetic, a good listener.
  • A confident user of a range of IT applications including Word, Excel, Outlook essential.
  • Knowledge of Arbor (or similar) an advantage

The role encompasses all aspects of office administration and requires a close working relationship with the Senior Leadership Team and built upon absolute trust.

Often the first point of contact for a diverse community of pupils, parents, staff, governors and visitors, the successful post holder will be an outstanding ambassador for both the school and the wider Trust, demonstrating exceptional people skills, a commitment to providing a high level of customer service and showing absolute professionalism at all times.

Proactive and highly efficient, you will be called upon to use ingenuity to resolve challenging situations and the ability to remain calm under pressure is vital.
