We have a vacancy within our school for an Office Team Leader. This is an excellent opportunity for an experienced and highly motivated Administrator to lead our office team within our forward-looking school and support our shared Office Manager who works across both of our schools.

Duties will include:
Leading and supervising the office team in providing a professional and efficient service for the following:
• Preparing for annual budget setting and reforecasting, including supporting the Office Manager with production and monitoring of budget reports and advising senior staff of any variances.
• Ensuring payment of invoices, resources and services to the school are paid promptly and appropriately and all reconciliations and preparation of final accounts for audit are completed in a timely manner.
• HR and Payroll support, including recruitment processes, contracts and relevant pre-employment checks.
• Collation of information for reports to the senior leadership team and Governors.
• Dealing with and providing advice and guidance to parents/carers, staff and other stakeholder enquiries by telephone and face to face.
• Administrative duties including managing the office team to ensure the creation and maintenance of a range of accurate school records, updating the website and social media and other methods of communication.
• Providing support for the booking of all trips and visits and associated payments.
• Managing online payments from parents / carers.
• Following all financial regulations in line with the Finance Policy for all orders, acquisitions and all bought-in services/leases to the school.
• Providing secretarial and administrative support to strategic meetings as required.
• Being responsible for Safeguarding vigilance in all aspects of the office functions; including visitors, contractors on site, after school activities, lettings, etc.
You will:
• Have experience of working in a busy school office.
• Have excellent interpersonal and communication skills, be approachable and personable.
• Be conversant with ScholarPack / SIMS / FMS (or similar systems).
• Have knowledge and experience of the financial functions carried out within a school office.
• Be responsible for overseeing the day to day strategic and operational tasks in the office and school site, ensuring that deadlines are met for the regular cycle of these weekly, monthly and annually.
• Be efficient, organised and capable, able to pull together information from a variety of sources in order to collate and produce school reports to deadlines.
• Have substantial administrative skills with an educational background.
• Have knowledge of HR and Health & Safety procedures.
• Possess a good level of competency in literacy, spelling, grammar and ICT skills.
