The Deanes is a vibrant small secondary school committed to providing high-quality education in a supportive and inclusive environment. We are seeking a dedicated and professional Personal Assistant to support our Executive Headteacher (The Deanes and Cornelius Vermuyden schools ) and Head of School in managing a wide range of administrative and organizational tasks to ensure the smooth running of the school.
The Personal Assistant plays a pivotal role in supporting the Executive Headteacher and Head of School's daily activities, ensuring efficient communication and administration within the school. You will provide high-level executive assistance, manage schedules, and act as the first point of contact for staff, students, parents, and external stakeholders.
Key Responsibilities:

Executive Support: Provide direct administrative and organizational support to the Headteacher, including diary management, scheduling meetings, and coordinating appointments.

Communication: Act as a liaison between the Headteacher and other staff members, parents, governors, and external agencies. Draft, proofread, and manage correspondence as needed.

Meeting Preparation: Prepare agendas, attend meetings, take minutes, and follow up on actions from meetings as required.

Documentation & Reporting: Manage the Headteacher’s correspondence and ensure efficient filing and record-keeping. Assist with compiling reports, presentations, and other documents.

Event Coordination: Assist in the planning and coordination of school events, assemblies, and meetings, ensuring all logistics are handled efficiently.

Confidentiality: Handle sensitive and confidential information with the utmost discretion and professionalism.

General Administrative Tasks: Support with general office tasks such as filing, managing telephone calls, and the weekly newsletter.
The Ideal Candidate Will Have:

Proven experience in a similar administrative or personal assistant role, preferably within an educational setting.

Strong organizational and time management skills, with the ability to prioritize tasks effectively.

Excellent verbal and written communication skills.

High level of proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

Strong attention to detail and the ability to work with minimal supervision.

A proactive, professional, and positive approach to work.

Discretion and the ability to handle confidential information.

A flexible and adaptable approach, with the ability to handle multiple tasks simultaneously.
This role will 30 hours per work, to be worked over 5 days, with the actual working hours to be discussed at interview.
