Pastoral Administrator job summary
This role is term time plus 10 days, 37 hours per week, 08.00-16.00.
As the Pastoral Administrator (Business Support Officer), you will play a critical role in supporting the Pastoral team so they can ensure that the school is able to effectively operate and efficiently meet the needs of students and staff.
This is an extremely fast-paced and varied role where no two days are the same, this will suit someone who enjoys a challenge and can quickly adapt their way of working in response to each task. You will provide a key communication link between the Pastoral team and wider school.
It is essential that the person for this role is organised, able to multitask, work flexibly and have a ‘can do’ approach. You will assist with general day-to-day admin tasks where you will demonstrate strong IT skills in Microsoft Word, Excel, PowerPoint and database management.
Key Responsibilities
- To be a primary contact to support parents/carers and students. To receive and share information by telephone, email or in person from parents/carers, staff, students and outside agencies.
- To be the face of student services and the primary contact for any student enquiries and support.
- Record any students arriving late to school, track the data and allocate detentions where required.
- To triage students wishing to access the Medical Room, escalating students to Medical where required and returning all other students back to lessons.
- Clearly communicate any On Patrol announcements to the Pastoral team in a timely manner, ensuring On Calls are dealt with and logged on the On Patrol spreadsheet.
- Stock management relating to uniform loans and purchases. Working closely with HOYs and Coaches to return borrowed items.
- Confident use and management of in-school systems, such as Class Charts, SIMS, ParentPay, Evolve, School Cloud and CPOMS. Scanning and uploading any documents to CPOMS and SIMS in a timely and efficient manner.
- To provide administrative support to the Assistant Head for Behaviour and Inclusion and the Pastoral Team including preparing data and reports including, Weekly Suspensions and the Partnership Isolation Tracker, logging students that go out and that come in.
- Support the school’s rewards and recognition systems. Collecting data, creating certificates using mail merge, allocating prizes and distributing to HOYs.
- To undertake any other ad hoc duties as requested by the Assistant Head for Behaviour and Inclusion, the Pastoral Team and Finance department to support the school.
- A team player with a ‘can do’ attitude, available to support at occasional parent/carer evenings and school events.
