Personal Assistant to Headteacher & Senior Leadership Team

Salary: L5

Working Week: 37 hours per week Monday – Friday, 38 weeks and 5 INSET days (term time only)

This is a key post within the School which requires dedication and a highly efficient and responsible approach. It requires working closely with the Senior Leadership Team and being able to give the Headteacher’s requirements first priority. As the first point of contact for the Headteacher, it is essential that the post holder has a manner which inspires confidence.

The post therefore calls for the ability to work on one’s own, to use judgement and initiative. The ability to remain calm and controlled under the pressures of working in a very demanding and constantly changing environment is also essential. Are you someone who is co-operative and flexible and meets challenges with enthusiasm and confidence? This will require some flexibility in working hours and styles to meet the varying demands of the role.

We are looking for someone who is organized, able to plan ahead, be adept at managing demanding deadlines under pressure and have strong IT and attention to detail skills.

A good team player who uses their own initiative and innovation to help us improve our systems and processes would be an asset.

Duties will include:

  • To provide confidential, personal and administrative/secretarial support to the Senior Leadership Team and to be the first point of contact for people wishing to contact the Headteacher;
  • To maintain confidential files and databases to ensure that the Headteacher/SLT has access to the most up-to-date information;
  • To ensure appropriate files are made ready and given to the Headteacher/SLT in advance of meetings on a daily basis;
  • To take an active role in activities related to the induction of new staff to the school;
  • Prepare, arrange and typing up minutes and preparing agendas and sending invites for meetings as required by the Headteacher/SLT;
  • General secretarial/administrative duties, e.g. filing, printing, photocopying, incoming and outgoing post for Headteacher/SLT;
  • Receiving and collating information generated through the School.
  • Preparation of paperwork to send to various third party organisations;
  • Maintaining systems, to enable monitoring of workloads, SLT diaries, referrals to third parties and performance information;
  • Receive phone calls, e-mails and other correspondence from customers, dealing with queries to the Senior Leadership Team and directing enquiries to the correct person;
  • Through regular contact with the Senior Leadership Team to be aware of, and sympathetic to, the best interests of the school and to communicate these to parents and the wider community as required;
  • Administer all procedures in relation to Personnel, completing documentation for personnel and payroll sections i.e. Job Descriptions, for starters, leavers and variations, securing authorisation from the Headteacher as necessary. Review and update Policy Documents as and when required
  • Undertake relevant training to up-date and maintain knowledge and skills.

The candidate should have:

  • Good communication and interpersonal skills;

  • Good written communication skills;
  • The ability to draft emails, minutes, reports etc. with a good standard of spelling and grammar;
  • An understanding of confidentiality and GDPR;

  • Be able to effectively use various IT systems;
  • Excellent IT and Microsoft office/G-Suite skills ;
  • The ability to work effectively as part of a team;
  • The ability to use your own initiative, organise and prioritise work;
  • Be able to take direction and use own initiative;
  • Knowledge of equality and diversity issues;
  • Understand the organisation's internal policies and key business policies relating to sector;
  • Be able to commit to relevant apprenticeship training including Functional Skills if required;
  • Be prepared to learn new skills;
  • A professional appearance and manner;
  • Be enthusiastic, resourceful with a calm, confident, positive and flexible attitude;
  • Be open to some flexibility in working hours and styles to meet the varying demands of the role;
  • Good timekeeping.

It will be necessary for the following pre-recruitment checks to be undertaken:

- Two professional references

- Disclosure Barring Check (DBS) – Enhanced level

- Medical History
