Reception / Admin Assistant job summary
Under the direction of the Office Manager, provide a professional reception and administrative support service to staff, students, parents/carers and visitors.
• To provide an efficient reception service to students, parents/carers, staff and visitors including:
o Answering routine enquiries via telephone and ensuring these are either transferred or accurate messages are taken.
o Greet visitors upon arrival to the school and ensure signing in procedures are completed in line with the school's visitor policy and utilising the electronic signing in system and ensuring accurate information is captured from visitors.
o Ensuring students who arrive/leave outside of the normal school day are signed in/out correctly.
o Ensure the car park entrance barriers and door entry into reception is operated in line with school procedures for safeguarding.
• Provide administrative support under the direction of the Office Manager and working in collaboration with the Senior Admin Officer and Operations Manager.
• Prepares external post for franking and sorts/distributes internal and external post received.
• Provides administrative support which may include scanning documents, photocopying, preparing letters and using a variety of Microsoft Office packages.
• Support the Office Manager with sending parent/carer communications via SchoolComms.
• Collate and input student data into SIMs, ensuring accuracy of information input.
• Assist with organisation and setup of school events such as Parent Consultation Evenings and Open Evenings.
• Provide first aid care for students/staff/visitors with minor injuries and liaising with parents/next of kin as required. Ensuring accuracy of input into first aid records following providing any care.
• Support with replenishing first aid kits and resources for both the medical room and across the school site.
• Collect, count and record monies received for school purchases and/or in conjunction with charity fundraisers.
• Contribute to the safe working environment of the reception and office areas, ensuring these remain tidy at all times.
• Keep up-to-date with school events, school calendar and circulated information to ensure that parent/carer, staff or student queries can be resolved quickly and efficiently.
• Maintain confidentiality when handling potentially sensitive data/tasks regarding parents/students.
