Receptionist/Administrative Assistant (Part-Time) job summary

Our friendly and busy, expanding nursery school is looking to appoint an efficient and effective part-time Receptionist/Administrative Assistant to support the administrative team, our Executive Headteacher, and the Federation's Strategic School Business Manager. In particular, the ideal candidate is proactive and able to use their own initiative in looking for ways to continually improve the administration function.

This is an appointment for 20 hours per week all year round, working 09:30-13:30 Monday to Wednesday, and 08:00-12:00 on Thursdays and Friday. Please note that this role will require an element of flexibility to cover colleagues' annual leave.

Weare a maintained nursery school and form part of a federation of fourlocal authority maintained nursery schools across Northamptonshire, with a supportive and proactive governing body. Purpose

  • To provide reliable support to the Strategic School Business Manager (SSBM) across many competing priorities needing accurate and timely administration
  • To carry out a range of administrative duties such as maintaining the pupil/student database, preparing stationery orders, and other general office duties like photocopying and filing as required
  • To work on reception, which, although not exhaustive, includes welcoming families into the nursery, communicating messages to the wider business management team, coordinating diaries, collating information, preparing reports, and monitoring returns against deadlines

Main duties

  • Preparing documents and reports ahead of meetings. Reports could be of a financial nature or related to health and safety, by way of examples
  • Speaking with third parties and contractors to obtain renewal or comparable quotes
  • Arranging for contractors to attend the school as necessary
  • Arranging meetings and booking meeting rooms
  • To prepare orders for stationery, office equipment, and first aid supplies, to pass on to the Bursar for approval and ordering, and to ensure that the school has sufficient resources to run efficiently and effectively
  • To receive deliveries for the school, including matching the delivery note with the order, checking the invoice, and passing the invoice on to the Bursar for payment, to ensure that deliveries are correct and paid for in a timely manner
  • To carry out basic office duties such as photocopying, filing, and dealing with general enquiries to ensure the provision of an efficient and effective administration service for the nursery
  • Recording of attendance of children
