SEN Administrator job summary
- Salary: Support Staff Salary Grade D1 – D5 (depending on experience).
- Hours: 37 hours per week / Monday to Thursday 08.15 – 16.15 / Friday 08.15 – 15.45
- Contract type: Full Time Permanent, 44.60 weeks p.a.
- Reporting to: Carla Bastow-Hart, Assistant Headteacher for SEND and Inclusion, SENCo but also working closely with Nikki Shave, the lead coordinator of the Admin team
Main purpose
To manage the administrative functions within the SEN and Inclusion Team, to provide a full and efficient administrative/support service to the SEN and Inclusion team. Be an ambassador for the school and embody the value, vision and ethos of the school in all interactions. Liaison with Assistant Headteacher for SEND and Inclusion and SENCo, Deputy SENCo, Designated Teacher for LAC/PLAC, Leadership Team, Governors, teaching staff, support staff, students, outside agencies and companies, LA, Colleges, Junior/Primary Schools
- Administrator to Assistant Headteacher for Inclusion & SENCo and Deputy SENCo:
- To field general enquiries from parents, external agencies and organisations received by telephone, email and face to face
- To organise and schedule meetings and calls between parents, staff, students, outside agencies and the SENCo and Deputy SENCo
- To maintain and manage the SENCo and Deputy SENCo diaries
- To assist with production, circulation and updating of student information
- To assist with maintaining the SEN support register ensuring accuracy and currency for the census
- To organise EHCP Reviews; liaising with the LA, inviting parents and outside agencies, collating information, attending the reviews, minuting, and distributing review reports in line with statutory deadlines as outlined in the SEN Code of Practice
- To organise PEPs for Looked After Children; inviting carers and outside agencies, collating and distributing information in line with statutory deadlines
- To manage the administration of all new SEND students to the school, liaising with previous schools, Head of Year, LA, teaching staff, parents and other stakeholders to organise visits and to collate and distribute information
- To prepare draft letters and reports on behalf of the SENCo and Inclusion Team as required
- To oversee the administration of interventions; update timetables, contact parents, log progress
- To assist with production, circulation and logging of referrals to external professionals; alternative provisions and other schools
- To administer EAA testing; scheduling, room booking, informing parents, students and teachers, setting up log ins and equipment, downloading and distributing reports
- To order resources for the department to ensure stocks are available (i.e. online tests), checking deliveries and signing off invoices. Liaison with the finance department
- To administer the setting up of alternative provision for students and review process; liaising with external AP providers, parents and carers, provision mapping, scheduling review meetings and safeguarding visits, minuting meetings and ensuring that all internal and external stakeholders are aware of any changes e.g. attendance, admissions, data and exams teams, LA etc.
- To monitor and chase the LA for outstanding responses
- To liaise with Finance team to operate an effective tracker system to support up to date forecasting of income and costs associated with our EHCP, LAC and AP students.
