SEND Administrator job summary
This will include:
- Supporting with the preparation of documentation This includes setting up annual review forms with accurate information. Setting up parental view’s forms.
- Processing and distributing documentation for all annual reviews and Education Health & Care Plans Ensuring letters are sent out 6 weeks prior to an annual review meeting and a further paperwork distributed 2 weeks before the meeting ensuring compliance with GDPR policies.
- Liaising with parents / carers and external agencies to ensure attendance at meetings including letters/text messages/phone calls as appropriate and following up reports for professionals unable to attend.
- Collating documentation and uploading to synergy gateway completed documentation to Leeds City Council within legal time frames
- Checking returned Education Health & Care Plans for requested changes
- To maintain accurate records and track progress of work using Microsoft Excel.
- Supporting the maintenance of all Education Health & Care Plans and pupil files
- Provide administrative support for EHCP reviews as necessary including ensuring presentations are prepared and saved down prior to the meetings taking place.
- Liaising with teachers to ensure paperwork is submitted in a timely manner, checking accuracy and ensuring all relevant documentation is included. Offering support to teachers as required.
- Using the evidence for learning assessment system to produce pupil assessment information as part of the review paperwork.
- Using MIS system to produce attendance data as part of the annual review paperwork.
- Arranging any re arrangements of annual reviews liaising with all parties to maximize attendance
- Sending out data sheets on a yearly basis to all parents/carers to ensure data is accurate on MIS systems.
- Managing the archiving for the department ensuring records are stored securely and logs kept up to date.
- Day to Day Management of the SEND Team Mailbox ensuring emails are responded to in a timely manner
- Supporting the SEND and Assessment Manager and SEND Support Officer answering queries and questions as required
- Prepare and update Post 19 provisions pack for parents ensuring these reflect website and curriculum changes.
In Addition:
- To work as part of a team to provide customer focused services
- To priorities work to meet conflicting deadlines
- To collate and prepare information from a variety of sources
- To undertake administrative duties including:
- Preparing routine correspondence
- Managing meeting rooms and dealing with hospitality
- Use ICT packages to support efficient and effective practice - Word, Excel, databases, spreadsheets, Internet and SIMs
- To support other team members to ensure the efficient resource of the department at peak times, absences and where necessary
- Develop good working relationships with outside agencies and stakeholders –pupils, parents/carers and teachers
- Present a positive personal image, contributing to a welcoming school environment
- Provide an excellent customer service to parents, pupils, colleagues and visitors to the school
- Comply with the policies and procedures relating to child protection, health, safety and security, confidentiality and data protection, reporting all concerns to an appropriate person
- Be aware of and support difference and ensure equal opportunities for all
- Contribute to the overall ethos/work/aims of the school
- To be prepared to work at any of the West SILC sites as necessary to meet the demands of the department and the school.
- To undertake any other duties that are commensurate with the post
- Participate in training and other learning activities and performance development as required
Any Special Conditions of Service:
There is a requirement to submit to an enhanced DBS background check.
There may be a need to occasionally work outside of school hours and off school premises, as required by the school. No smoking policy.
