Hours / weeks: | To work mornings / evenings on an agreed working rota with occasional weekend or cover work 35 hours / week, 52 weeks / year, plus additional hours for ‘Lettings’ |

To maintain the internal and external fabric of the school as a safe and secure working environment for pupils, staff and visitors by providing site support services including general repairs and maintenance, cleaning and supervision of cleaners, security of grounds and buildings, as well as supporting the Academy in the hiring of facilities.
To contribute to the overall ethos, work and aims of the Academy.
Main responsibilitiesDaily tasksMorning duties – unlock gates and entrance doors, check that the premises have not been disturbed, open windows as required, switch on water heaters, check the boiler room and heating system to make sure it is in working order and that heat is supplied across the school, give contractors access as required and complete any other tasks on the morning shift task sheet.
Evening duties – walking around the premises, checking that windows are closed, lights switched off, internal doors locked, water heaters switched off, locking all external doors and gates, making sure that the site is properly alarmed & other tasks on the evening shift task sheet.
Complete all other shift tasks set by the Estate Manager.
Receive building contractors and accompany them if required.
Accept deliveries and distribute these to the correct faculties / departments.
Check that external and internal lights are in working order and swiftly report faults.
Check that windows are open and shut at the appropriate times to keep the site secure.
Conduct periodic health and safety checks (trip hazards, broken windows, broken doors, electrical hazards etc.) and log any issues with the line manager.
Manning of site entrances as required (i.e., gate duty).
Make the necessary arrangements to ensure that designated spaces are readily available for specific events (i.e., assemblies and lettings).
Undertake regular meetings with the Estate Manager.
Check emails and reply to them accordingly.
Responsible for preparing your own paperwork and timesheets.
Be contactable at all times whilst on duty, by radio on weekdays & school mobile at weekends.
Health, safety & securityCarry out regular health and safety checks in accordance with the school’s health and safety policy including but not limited to water temperature checks, fire alarm and sprinkler checks, termly fire drills, annual evacuation procedure practice, weekly checks of all fire fighting equipment and fire alarm call points.
Operate and monitor the CCTV cameras and automated gates making sure that these work properly and that any faults are swiftly reported to the contractors.
Ensure that the roof is clear of leaves and weeds so there is no risk of roof damage.
Undertake training in all aspects of caretaker duties.
Ensure compliance with the Academy safety procedures & statutory legislation.
Assist in carrying out procedures in the event of fire, flood, breaking and entering, accident if major damage.
Providing security services including setting and unsetting the intruder alarm systems at start and end of facility opening hours, and management of security and alarm systems.
Key holding responsibility.
Site maintenance & managementCarry out minor repair works where possible (e.g., repairs to furniture and equipment, touch up painting and decorating, putting up shelving).
Report major faults and malfunction to the external contractors and follow up.
Maintain equipment and machinery within the school (e.g., DT equipment).
Regularly check electrical sockets and electrical appliances to ensure that they are in working order and comply with safety standards e.g. no exposed wiring.
Daily and weekly checks of external sports equipment.
Check time clocks around the school and re-adjust to ensure that they are set correctly especially when clocks go back or when batteries need replacing, etc.
Respond / arrange for jobs logged by staff to be completed swiftly.
Ensure that all Planned Preventative Maintenance (PPM) tasks issued by the PFI contractors are completed.
Ensure that reactive tasks found whilst doing the PPM tasks are either called through to the PFI contractor’s helpdesk or dealt with.
Grounds maintenanceSweep under covered entrances and areas.
Walk the perimeter fence to clear litter as required by the Estate Manager.
Keep the site tidy and accessible by litter picking, clearing snow / leaves / animal droppings from paths, tennis courts, external hard surfaces including underneath the canopies and car parking areas and distributing salt / grit as required.
Ensure that the grounds maintenance contractor is working to contract.
CleaningCheck contract cleaners’ daily and weekly tasks are completed to a satisfactory standard ensuring that sinks, toilets and surrounds are cleaned to a good standard.
Ensure that all door mats are vacuumed, cleaned and maintained to a high standard.
Clean areas as directed that are not in the cleaning contract or need cleaning in the absence of the cleaners; this would include graffiti removal.
Ensure inside and outside waste bins are emptied regularly.
Be responsible for the stock check and availability of all hygiene materials and cleaning supplies and reporting on stock levels to ensure the smooth running of operations.
Ordering, distribution and storage of cleaning materials.
Keeping low level gullies and guttering free from leaves.
Porterage, meetings & school functionsPorterage duties as required and particularly the laying out of furniture and other equipment for timetabled activities without direct instruction.
Prepare for school & after school activities, clearing & cleaning up after these, if required.
Take delivery of stores, materials, and other goods, storing and / or moving them within the school as required.
Dispatch goods from the school.
LettingsDuring the lettings shift be the main point of contact between the hirers and the School Business Manager.
Welcome all hirers / visitors in a professional and confident manner and ensure that any questions or concerns are addressed in a professional manner.
Ensure that access is only given to hirers on the school’s ‘hirers list’ provided monthly by the finance team for entry and exit times detailed on the list.
Ensure that all areas not being hired are kept locked.
Ensure that the lettings calendar is updated for times on the ‘hirer’s list’.
Check all areas before hirers are given access to ensure they are to the agreed standards and meet health and safety requirements.
Check all areas handed over after their session to ensure that the areas are given back to the same standard so there is no impact on teachers the following day / morning.
During this shift perform tasks as agreed with the Estate Manager.
Duties to include general maintenance, meeting room set-ups, porterage, as well as covering reception and absence cover when required.
TrainingParticipate in training, development activities and programmes as appropriate.
Attend necessary INSET sessions, meetings and training as required.
Keep up to date with relevant legislation and implementation including Health and Safety and control of Substances Hazardous to Health (COSHH) developments and communicate relevant information to staff.
Additional dutiesUndertake other duties as directed by the Headteacher and School Business Manager which may be necessary to keep pupils, staff and visitors safe and secure.
The duties and responsibilities listed above describe the post as it is at present but the post holder is expected to accept any reasonable alterations that may from time to time be necessary.
