Site Services Officer job summary

Core Purpose:

The emphasis of the role of Site Services Officer (SSO) will be to contribute to the daily running of the school by maintaining an effective, safe and pleasant working environment. Specifically, the SSO will be required to assist in keeping the school site clean, safe and in good repair by:

  • escorting contractors for building, plant and other services.
  • assisting with minor repairs, maintenance, safety, security and site development.
  • taking minor operational decisions within the framework of existing guidelines.
  • covering for other Site Service Staff during absences (leave, sickness etc.).
  • working closely with staff at all levels within the school

  • To be aware of and observe all policies, procedures, working practices and regulations, and in particular to comply with policies relating to Child Protection, Equal Opportunities, Health and Safety, Confidentiality, Data Protection and Financial Regulations, reporting any concerns to an appropriate person.

Key responsibilities:

  • Carrying out those practical aspects of upkeep and development of the site as directed by the Head of Site Services/Senior Site Services Officer. Liaison with staff in response to their requests for site repairs and with suppliers and contractors concerning goods or services ordered.
  • To maintain staff relations by respecting the confidential nature of the work and the rights of all Whitefield employees.
  • As a key holder, to assist with the locking and securing of the school buildings.

Specific Responsibilities:

  • Assist in carrying out daily checks as scheduled by the Head of Site Services / Senior Site Services Officer in order to effectively maintain the school in a functional state and in good all-round repair.
  • To ensure access to school buildings is kept open by removing seasonal obstructions (snow, leaves etc.) and ensuring adequate frost and weather protection is in operation to maintain adequate access and building protection.

  • To effectively and methodically carry out routine daily tasks to ensure school hygiene and compliance is maintained to the highest possible standards which will include:
  • Emptying and disposing of waste material including general and sanitary items in designated areas in accordance with current instructions.
  • Cleaning and sweeping of internal and external areas.
  • Mopping up of spillages.
  • Ensuring that safety instructions as issued are complied with in accordance with school policies.
  • To provide a porterage and delivery service to and from the reception area and around the school site generally. To deliver classroom hygiene supplies as necessary.
  • To assist in the monitoring of works carried out by all contractors as notified by the Head of Site Services / Senior Site Services Officer, ensuring that the school is properly maintained. Direction of contractors to relevant work areas, and communicating school requirements as necessary.
  • To ensure that they are aware of, trained in, and comply with relevant Health and Safety requirements, legislation, regulations and codes of practice, and local H & S policy guidelines.
  • To ensure the timely and effective reporting of any dangerous practice being carried out by contractors, and wherever it can safely be achieved, to stop such practice immediately.
  • To assist in the responsibility of the school and site security, including:

Routine and non-routine activation/deactivation of alarm systems as appropriate;

Being a key holder for afterhours emergencies;

Within accepted school guidelines, prevent unauthorised visitors/trespassers and unauthorised parking on school premises.

  • To carry out general site maintenance from the school ‘Maintenance Requests’ portal, grounds maintenance, some emergency cleaning duties as required, including safely mopping and disposing of spillage’s including clinical waste, fluids and other offensive matter from designated areas. To empty clinical waste bins and dispose of same in appropriate containers. Also erecting shelves and notice boards, decorating rooms, clearing drains, unblocking toilets etc.
  • To cover the Senior Site Services Officer role and support the Head of Site Services during any absence (WSC Only).
  • Issuing instructions to contractors where emergency and non-emergency repairs are necessary and informing Head of Site Services / Senior Site Services Officer as soon as able. Ensuring that any oral orders placed are properly recorded in accordance with the school’s procedures.
  • Any other duties of as instructed, commensurate with grade and position within the school, which will include sharing after hours working with other site service staff.
  • Routine checking and organising of the Maintenance Request system and carry out satisfactory repairs or contacting appropriate contractors.
