Trust Admin Assistant job summary

 The Board of Trustees of the Youth Engagement Schools Trust are looking to appoint an Administration Assistant to work under the direction of the Director of Business and wider Executive Leadership Team to provide a professional and effective administrative service to the Trust’s central office. 

 
General 

Ensure office is clean, tidy and welcoming; Open, distribute and file any post received; Ensure office supplies are kept at an appropriate level; Produce half termly Trust newsletter and distribute internally; Manage Trust email account and answer / distribute emails accordingly ; Answer and manage incoming calls to the Trust office; Assist ELT with meeting scheduling / diary management (Office 365); Arrange travel for ELT as and when required; Manage and keep up to date filing systems in the central office.

Finance 

Post credit card transactions, Direct Debit transactions and invoices for Trust central database 
 
HR 

Assist with posting jobs on school websites and indeed; Arrange interviews and phone calls / meetings about jobs in the Trust; Help arrange Performance Management and appraisal meetings with Headteachers 

Governance 

Ensure all Trust websites are up to date, with current policies – support where needed; Update websites where necessary; Ensure all Trust Board / LSB meetings are appropriately scheduled and documentation ready (liaise with Clerks); Ensure GVO system is up to date and documentation is correct and relevant – chase Headteachers / ELT / Trustees if necessary; Ad-hoc administrative tasks as directed by ELT.
