Trust Apprentice Business Administrator job summary
Work within our friendly, committed Trust team as an Apprentice Business Administrator to support the administration of the Trust central team
Purpose of the Job:
To contribute to the successful administration of the Trust Central Team and its day to day efficiency providing support to the Finance, Governance and People Services Team. The office administrator will be required to manage their own workload and priorities and take responsibility for their own tasks as well as tasks delegated by the central team.
Key Features:Administration and Communications
Deal with general enquiries face to face, over the telephone, via email and in writing
Receive and open mail and distribute or deal with accordingly
Produce documents and communications using appropriate software and office equipment to meet the needs of the role
Provide administrative support including photocopying, printing and emailing
File and retrieve (electronically and manually) documentation produced and other resources for the central team to support efficient record management and compliance with data protection requirements
Governance
Act as the Clerk to Governors for a selection of schools, distributing agendas and supporting paperwork, taking minutes during meetings, typing up minutes and distributing accordingly
Maintaining a record of Governor training and following up on incomplete training
Following up on action points from meetings with the relevant person/s and keeping the Chair of Governors informed
Assisting with stage two complaints
Maintaining a record of governance documents such as terms of reference, signed minutes policies and policy review dates
Coordinating Disclosure and Barring Service Checks for Governors
Finance Services
Raising and processing purchase orders and invoices in a precise and timely manner
Ordering resources on behalf of the Trust central team
Maintaining accurate financial records using the Trust finance systems
Processing income for school clubs using the Trust finance systems
Obtaining supplier statements and ensuring that they balance to the ledger
Acting as a point of contact for purchase orders and invoice queries
Liaising with school office staff to ensure purchase orders and invoices are entered onto the finance system accurately
People Services
Assisting with recruitment by completing checks, paperwork, preparing interview timetables and inviting candidates to interview
Liaising with School Office Managers to obtain interview paperwork and upload to recruitment files
Uploading paperwork to Trust payroll system and school systems
Inputting overtime, mileage and expenses claims to the payroll system
Operate the Trust’s long service award scheme
Other
Attend and participate in meetings when required and take part in training and other learning activities as required by both the central team and the wider Trust
Undertake other duties which may arise from time to time, to be agreed with the Line Manager
Apprenticeship salary £6.40 p/hour increasing to minimum wage relevant to age after completing the first year.
Flexible working hours Monday to Friday which can fit with school hours, 30 minutes unpaid lunch break (maximum of 32 hours/30 mins week if desired) for 39 weeks per year (term time + 5 training days). Discounted before/after school club care at our schools.
Initially based at our Woodford Halse office, however working from home would be an option following training and induction.

Woodford Halse C.E. Primary Academy is a rural school in the Northamptonshire countryside with 254 primary pupils and around 50 nursery pupils from the local villages.
