Admin Assistant job summary

Contract: Permanent – 35 hours per week, term‑time only (39 weeks per year)

We are seeking a proactive, organised, and adaptable Administrative Assistant to join our Educational Support Team. This role is central to ensuring the smooth and effective running of our school office, providing high‑quality administrative and reception support across a range of key functions.

Working closely with the Admissions Team, pastoral staff, teaching colleagues, and external agencies, you will help maintain efficient school processes and contribute positively to the day‑to‑day experience of students, families, and visitors. This is a varied and rewarding position, ideal for someone who enjoys working collaboratively, managing multiple priorities, and delivering excellent customer service.

What You’ll Be Doing

Admissions Support

  • Acting as the first point of contact for admissions enquiries, offering a professional and welcoming service to families.
  • Supporting the Admissions Secretary with daily administrative tasks from initial enquiry to enrolment.
  • Preparing, distributing, and tracking admissions documents, forms, and correspondence.
  • Assisting with the organisation of open events, taster days, induction meetings, and other admissions activities.
  • Providing flexible support to the wider admissions and administrative teams as required.

Behaviour Recording & Parents’ Evenings

  • Accurately logging detentions and suspensions on the school’s MIS and CPOMS systems.
  • Preparing correspondence and documentation for parents linked to behaviour processes.
  • Recording lunchtime detentions on student profiles.
  • Managing the online parents' evening system, coordinating booking schedules, and supporting staff with arrangements.
  • Sending communications to parents and addressing related queries.

Student Vaccination Programme

  • Liaising with external vaccination teams to schedule dates and secure required information.
  • Coordinating communication with parents to obtain permissions and share key details.
  • Arranging suitable spaces and ensuring logistics are in place for vaccination days.
  • Supporting the visiting vaccination team, including greeting students and preparing refreshments.

Sporting Trips Administration

  • Using the EVOLVE system to prepare trip packs for sporting fixtures, ensuring all required information and approvals are included.
  • Providing additional administrative support to the Trips Assistant during busy periods.

General Administrative & Reception Duties

  • Updating the admin calendar and ensuring key school dates are reflected on the website.
  • Supporting reception by greeting visitors, responding to student enquiries, operating the intercom, and managing incoming calls.
  • Maintaining accurate student records on the MIS.
  • Sending school communications and distributing incoming and outgoing mail.
  • Contacting transport providers and the local authority regarding school buses.
  • Supporting sign‑in/sign‑out for students and visitors arriving late or leaving for appointments.
  • Keeping the reception and foyer areas tidy, organised, and welcoming.
  • Forwarding complaints and responding to requests from stakeholders appropriately.
  • Providing flexible support across the Administrative Team as needed.
