Admin Assistant job summary
Job Description
32.5hrs per week, term time only. 8.30am-3.30pm Mon-Fri.
Communication and Liaison Duties
- Act as the primary liaison for pupils, parents, and visitors, promoting a welcoming and positive school environment.
- Handle all incoming calls and office emails, ensuring all queries are addressed promptly and efficiently.
- Serve as the first point of contact for parents reporting absences or expressing concerns, ensuring efficient communication between the office and the wider school.
- Maintain confidentiality when communicating with parents and visitors to the school.
Security and Safety Responsibilities
- Manage the school's front-of-house operations, ensuring all visitors are familiar with the school's security procedures.
- Lead and coordinate the school’s medical and first aid resources, training and practice as a paediatric first aider.
- Work with the pastoral team to support any pupils with medical conditions in school.
- Fulfil the role of a trained Paediatric First Aider
- Take responsibility for meeting with families, creating and sharing individual medical plans for pupils
Admin roles
- Attendance – keep accurate data of pupil’s attendance through the Arbor system
- Compile attendance reports and correspondence for Head Teacher and Family Support Co-ordinator
- All admin involving suspensions and penalty notices
- Keeping up to date records for the Nursery
- Checking school meals and breakfast and after school club records are correct
- Inform parent/carers when any payments are overdue
Pupil Admissions
- Manage the complete admissions process, from initial inquiry through enrolment, ensuring all documentation is accurately completed and processed.
- Serve as the primary contact for prospective parents and students, answering inquiries and providing information about the school and the admission process.
- Schedule and coordinate school tours for prospective pupils and their families.
- Manage the leavers process, ensuring all necessary paperwork and procedures are followed when pupils leave the school.
Digital and Website Administration
- Oversee and update the school's website and other digital platforms to keep them current and engaging.
- Update the school’s calendar.
- Be knowledgeable of the school’s calendar of events so queries from parents and other members of the community can be answered.
Financial Management:
- Responsible for financial tasks including collecting and recording parental contributions and run reports
Staff Management:
- Recording absences on the Arbor system and School Calendar.
- Work with the Trust to ensure that the school’s policies are circulated, read and understood by the relevant members of staff.
Responsibilities for All Staff
- Understand and follow all relevant school policies.
- Attend and participate in training and development courses as required.
- Be a role model for the standards of behaviour expected of pupils.
- Undertake reasonable additional duties as requested by your line manager
- Contribute to, and model, the school’s vision, values, learning styles, leadership styles and ethos.
- Be a highly involved member of the school community and be active in aspects of school life, including developing positive relationships with staff, pupils and parents.
