What skills and experience we're looking for
Main Duties Administrative and Office Support
1. To work as part of a team, supporting colleagues to deliver an excellent administrative and front office service.
2. To organise work tasks and duties to meet agreed service standards.
3. To undertake routine administrative tasks, including but not limited to:
o Record keeping, filing, data input and retrieval
o Dealing with incoming and outgoing mail and email
o Receiving and processing deliveries
o Preparing routine correspondence and information packs including letters, newsletters and other school communications
o Photocopying and ensuring supplies of internal forms are kept well stocked
o Updating / maintaining the school calendar
o Updating content on the school website
o Completing routine forms
o Taking telephone messages and dealing with telephone enquiries
4. To act in accordance with the Data Protection Act and maintain confidentiality at all times (e.g. access to staff, pupil, parent and carer files).
5. To use IT applications and databases effectively to deliver administrative tasks (e.g. attendance registers, school meals).
6. To keep accurate records.
7. To work with others to help improve work organisation and effectiveness.
Reception and Communication
8. To provide a friendly, welcoming reception service, dealing with face-to-face, telephone and email queries efficiently and effectively.
9. To communicate effectively with colleagues and all other stakeholders in relation to work undertaken (to include but not limited to pupils, governors, parents/carers, visitors, external organisations, LCC departments and government departments).
10. To maintain a tidy and welcoming reception and front office area.
11. To receive, welcome and escort visitors around the school, ensuring school safeguarding procedures are followed.
12. To facilitate meetings including taking minutes.
Finance and Resources Administration
13. To maintain stock and supplies including monitoring stock levels and ordering resources.
14. Collecting parent payments (e.g. dinner money, school trips, school club payments) including cash and online payments, and completing banking and reconciliation of monies.
15. Raising and processing of orders and invoices.
Pupil Welfare and Events
16. To assist with pupil first aid/welfare duties, looking after sick pupils, liaising with parents/staff etc.
17. To assist with arrangements for visits by the school nurse, photographer etc.
18. To prepare and clear away refreshments for visitors, parent events, training events and to facilitate meetings.
19. Assist with arrangements for school events and trips.
20. To contribute to the safeguarding and welfare of pupils.
General Responsibilities
21. To ensure promotion and support of Equal Opportunities and Health & Safety.
22. To undertake any other duties that are commensurate with the post.

Otley All Saints CE Primary School was established as a one form entry primary in 2002 following the reorganisation of Otley’s schools. Currently there are 212 pupils on roll, plus a 26 place nursery. The majority of pupils transfer at eleven to Prince Henry’s Grammar School. Otley is an attractive and historic market town on the northwest boundary of Leeds, proud of its heritage and community spirit. The school enjoys strong links with community organisations, such as the Courthouse and the annual carnival, and with All Saints Church.
