Administrative Assistant job summary

Supporting the Office Manager and Personal Assistant to the Principal in a supportive and professional manner.

Respond to admin emails and direct enquiries to the appropriate member of staff.

Provide administration support for the Progress and Achievement Leaders within the academy.

Carry out general administrative tasks and/or procedures and be accountable for quality and accuracy.

Compile and place orders using the Trust’s Finance package and complete daily checks of purchases on the academy’s payment system.

Complete regular stock checks to maintain supplies of stationery.

Provide financial overviews of budgets, when required, for key staff within the academy.

Checking and chasing payments for school transport and issuing bus passes.

Directing transport issues and liaising with the appropriate authorities/staff.

Support the Senior Leadership Team in general administration and finance tasks.

Prepare resources for teaching staff as and when required.

Assist with school displays, photocopying and laminating as required undertaking various administrative duties including photocopying, scanning, confidential waste and filing.

Ensure all administration work complies with General Data Protection Regulations and the Data Protection Act 2018.

Undertake first aid duties (for which training will be provided).

Undertake the administering of medicines to students including maintaining records and student care plans and help prepare first aid kits and documentation for school trips and visits.

Co-ordinate and provide admin support for academy events e.g. plays, concerts, parents' evenings, sporting fixtures and visits.

Ensure all daily post from staff is sent and received within appropriate timeframes.

Model excellent professional relationships with students, parents, and other professionals in the school.

Be an ambassador for the school when meeting parents and other visitors.

Adhere to school procedures and ensure that staff receive messages promptly and accurately.

Ensure all room booking requests are arranged promptly and accurately.

Ensure all student data is accurately added to MIS systems.

Ensure that all visitors to the school are signed in and out in accordance with the school’s Safeguarding Policy.

Ensure all students entering and leaving the school during the school day are accurately recorded in the MIS system, adhering to the correct guidelines.

Be responsible for supporting the administration of transition information including uniform and supporting parents.

Carry out lunch time duties as required.

Provide cover for the wider administrative team over lunch breaks.

Be present as Fire Wardens for the academy if required.

Carry out any other duties commensurate with the grade and general responsibilities of the post.

Comply with Health and Safety Regulations.

Demonstrate a high level of initiative.

Manage and organise work of a confidential nature, with considerable tact, diplomacy and a high level of commitment, customer care and flexibility.

Establish good working relationships with all academy staff, students, Trust staff and visitors.
