We are seeking a high-caliber Administrative Officer to become a central figure in our school’s success. This isn’t just an office role; it is a vital management position designed for someone who thrives on efficiency, technical innovation, and—most importantly—financial precision.
The Role: Administrative Officer
What You'll Be Doing: Your Impact
As our Administrative Officer, your day-to-day will be varied and impactful. Your core responsibilities will fall into four key areas:
- Financial Management: You will be the lead on our financial health—preparing and monitoring budgets, managing the school’s imprest account, and processing invoices and requisitions with precision.
- Operational Excellence: From managing complex data systems to overseeing building maintenance and contractor quality control, you will ensure the school runs like clockwork.
- Governance & Support: You will provide high-level secretarial support, including attending Governors’ meetings and assisting the Senior Leadership Team with strategic planning.
Key Accountabilities & Priorities
In this role, your work is prioritized to ensure the school remains financially sound and operationally efficient.
Your main responsibilities will include:
1. Financial Strategy & Oversight (Top Priority)
- Lead the preparation, control, and monitoring of school budgets and financial reports.
- Manage all accounting procedures, including the school’s Imprest Account, unofficial monies, and requisitions.
- Oversee financial information systems and ensure the smooth processing of invoices, lettings, and free school meals.
2. Personnel & Leadership
- Play a key role in the growth of our team by assisting with recruitment, including drafting adverts and other recruitment tasks required.
- Informing HR of changes to staff and any leave that is taking.
3. Facilities & Contract Management
- Under the direction of the Headteacher, act as the point of contact for contractors.
- Supervise building works, maintenance, and quality control to ensure a safe and high-quality learning environment.
4. Administrative Governance
- Manage comprehensive data and information services to meet the school's evolving needs.
- Support the school’s leadership and Governing Body by reviewing policies and managing complex administrative procedures.
Person Specification
The successful candidate will be a "finisher" with a high level of technical competency. We are looking for:
- Qualifications: NVQ 3 in a relevant discipline (or equivalent experience) plus strong GCSEs in English and Maths.
- Expertise: Solid experience in financial management and the operation of administrative systems.
- IT Proficiency: Excellent ICT skills with the ability to manage specialist school software and data.
- Interpersonal Skills: A natural ability to build professional relationships with staff, parents, and children alike.
- Safeguarding: A deep commitment to the safety and welfare of our pupils, adhering to all statutory requirements.
