Job Purpose:
To work as part of a team to make a positive contribution to children’s learning and well-being within a happy and caring environment, and ensure to ensure the school runs smoothly and efficiently.

To maintain confidentiality at all times including implementing data protection policies, security of passwords and confidential files.

To carry out administrative and reception duties in a helpful, positive and professional manner.Team Purpose:
To support Rivermead Primary School’s commitment to safeguarding children and promoting their welfare at a level appropriate to this role.
Be aware of and comply with policies and procedures relating to health and safety, security, confidentiality and data protection, reporting all concerns to the appropriate person.
Contribute and support the overall ethos, aims and work of the school.
Provide a courteous and efficient service to staff and pupils at all times.
Participate in training, other learning activities and performance development as required.
Attend and participate in meetings as required.
To be an active and positive member of the school admin team.
Any other duties commensurate with the duties/responsibilities/grade of the post.
All staff in school will be expected to accept reasonable flexibility in working arrangements and the allocation of duties including duties normally allocated to posts at a lower responsibility level, in pursuance of raising pupil achievement and effective team working.
Main tasks/Accountabilities
Make arrangements for visits by the school nurse, photographer, linked schools and parents.
Respond to queries from staff, pupils and parents within agreed timescales.
Administration of all admissions and school leavers.
Set up of school year on Arbor.
To maintain the reception area ensuring that the notice boards and displays are well presented and up to date at all times.
Welcoming parents and visitors into the School and to maintain secure procedures for admitting visitors to the school including use of signing in and checking out visitors, issuing of visitor badge, checking DBS status.
Arranging refreshments for guests and meetings when required for the Headteacher or Deputy Head.
In the event of an emergency evacuation to take responsibility for ensuring pupil registers, signing in and out books, a telephone and a first aid kit are taken to the assembly point.
Sorting and distributing internal and external mail.
Collating documents and preparing mailings to parents, carers and agents.
To ensure that the school office is tidy and well presented at all times ensuring surfaces are clear.
To ensure appointments, trips and events are placed on the school diary and that of the Headteacher as appropriate.
Work alongside the teachers to arrange and book school trips, including transport.
Input assessment data into Arbor and upload where needed.
To maintain an up to date an accurate emergency contact list for all children on Arbor and in paper form.
ATTENDANCE AND PUNCTUALITY:
To take responsibility for the pupil registers ensuring that the processes in place to monitor attendance and punctuality are maintained including providing information for the Head Teacher and the Education Welfare Officer and the sending of letters to parents.
To provide individual attendance data for all pupils annually and when required by the Headteacher.
To provide attendance data required by the LA and the DFCS electronically as authorised.
MEDICAL
Check medication expiry dates at the beginning of each month. Update the school record and let parents know if it is due to expire soon.
Send out yearly pupil medical forms, and update records with parent responses.
Document pupil medical plans.
SCHOOL UNIFORM:
Give parents information on how to order school uniform.
To assist parents with any uniform enquiries.
LUNCHES:
Update Catering menu on Arbor each term
Send weekly dinner reports
Change menus for census days/Christmas dinner
Provide daily dinner numbers to the school kitchen
GENERAL ADMINISTRATION
Support production of the Weekly Round-up document and distribute it to parents and staff.
Support production of Termly Learning and Teaching Newsletter and distribute it to parents and staff.
Support teachers with production, printing and distribution of annual school reports.
To ensure the shared area on the office computer system is kept organised including the removal of files no longer required
Filing, laminating and photocopying as required.
Assisting in the preparation of School events as required.
Taking minutes at meetings as required.
Undertake such other duties and responsibilities of an equivalent nature, as may be determined and negotiated by the Headteacher/Deputy Head/School Operations Manager from time to time.
PASTORAL CARE
To be aware of and act according to policies and procedures relating to child protection, pupil behaviour management, health, safety and security, confidentiality and data protection and report all concerns to an appropriate member of staff.
To maintain secure files relating to child protection.
Undertake pupil first aid/welfare duties, looking after sick pupils, liaising with parents/staff in accordance with School Procedure.
TEAM WORK
To help maintain a tidy staff room keeping surfaces clear and clean.
To remove out of date flyers and bulletins from the staff room-recycling when appropriate.
To help keep communal areas clear and tidy.
Attending whole School meetings, Inset days and Staff Development workshops as required.
Person specification
Knowledge/Qualifications:
Knowledge of Google systems preferable
Knowledge of Arbor & Google mail preferable although not essential as training will be provided
Skills/Abilities:
Ability to work with a team working environment and also able to work independently
An enthusiastic positive attitude and sense of humour
Excellent communication and interpersonal skills
Confidentiality at all times
Ability to work well under pressure
Take a professional pride in all aspects of the work and in the school
Organisational skills
Time management. Punctual, dependable, trustworthy and tactful
Experience:
Experience of working within an office environment is desirable
