Administrator job summary

Key Responsibilities:General Office Administration
  • Welcome visitors and respond to phone, email, and in-person queries professionally

  • Carry out day-to-day administrative tasks including data entry, photocopying, scanning, and filing

  • Maintain accurate and up-to-date pupil records using school systems (e.g. SIMS/Arbor)

  • Assist with school communications such as letters, newsletters, and emails to parents

Medical & First Aid Support
  • Maintain and update pupil medical records using the Medical Tracker system

  • Oversee first aid administration and ensure care plans, allergies, and incidents are recorded accurately

  • Liaise with staff, parents, and agencies to support appropriate medical care

  • Monitor and restock first aid supplies and assist with statutory health checks

Wrap-Around Care Administration
  • Work with the Wrap-Around Supervisor to manage Breakfast and After-School Club records and bookings

  • Maintain accurate registers and communicate important information (e.g. attendance, medical needs)

  • Support the collection and tracking of fees in coordination with the Finance Officer

School Trips & Lettings Support
  • Assist in organising school trips, collecting permissions, liaising with providers, and maintaining accurate records

  • Help manage lettings by maintaining the calendar, preparing documentation, and liaising with hirers

  • Work closely with site and admin teams to ensure facilities are prepared and policies are followed

What We’re Looking For:

We’re looking for someone who:

  • Has strong administrative skills and attention to detail

  • Is confident using Microsoft Office and school systems (e.g. SIMS or Arbor)

  • Communicates clearly and warmly with staff, parents, and visitors

  • Can manage multiple tasks and prioritise effectively

  • Understands the importance of confidentiality and safeguarding

  • Is flexible, reliable, and thrives as part of a collaborative team

Desirable:

  • Experience in a school or educational setting

  • Familiarity with Medical Tracker or similar platforms

  • First Aid qualification (or willingness to be trained)

  • Understanding of safeguarding and school trip procedures
