Administrator job summary
-
Welcome visitors and respond to phone, email, and in-person queries professionally
-
Carry out day-to-day administrative tasks including data entry, photocopying, scanning, and filing
-
Maintain accurate and up-to-date pupil records using school systems (e.g. SIMS/Arbor)
-
Assist with school communications such as letters, newsletters, and emails to parents
-
Maintain and update pupil medical records using the Medical Tracker system
-
Oversee first aid administration and ensure care plans, allergies, and incidents are recorded accurately
-
Liaise with staff, parents, and agencies to support appropriate medical care
-
Monitor and restock first aid supplies and assist with statutory health checks
-
Work with the Wrap-Around Supervisor to manage Breakfast and After-School Club records and bookings
-
Maintain accurate registers and communicate important information (e.g. attendance, medical needs)
-
Support the collection and tracking of fees in coordination with the Finance Officer
-
Assist in organising school trips, collecting permissions, liaising with providers, and maintaining accurate records

Help manage lettings by maintaining the calendar, preparing documentation, and liaising with hirers
-
Work closely with site and admin teams to ensure facilities are prepared and policies are followed
We’re looking for someone who:

Has strong administrative skills and attention to detail
-
Is confident using Microsoft Office and school systems (e.g. SIMS or Arbor)

Communicates clearly and warmly with staff, parents, and visitors
-
Can manage multiple tasks and prioritise effectively
-
Understands the importance of confidentiality and safeguarding
-
Is flexible, reliable, and thrives as part of a collaborative team
Desirable:
-
Experience in a school or educational setting
-
Familiarity with Medical Tracker or similar platforms
-
First Aid qualification (or willingness to be trained)

Understanding of safeguarding and school trip procedures
