Attendance & Admissions Officer job summary
- Manage registers and ensure that pupils arriving late are recorded on Arbor with notes added as appropriate. Manage recording of pupil attendance accurately in conjunction with the Attendance Lead and the Headteacher
- Receive and log daily absence calls.
- Input attendance data and late arrivals on the school MIS system and investigating any missing data, and maintaining accurate attendance records, including unexplained absences.
- When necessary, to make initial enquiries with parents/carers regarding unexplained absences/lateness - including first day calling, where texting has not produced a response.
- To monitor the attendance of students and feedback at regular inclusion meetings
- Promote good attendance within the school.
- To process and action pupil holiday/ Leave of Absence requests.
- To ensure that routine correspondence to parents/carers regarding attendance/absence requests are complete in accordance with the school procedure.
- To assist the Assistant Headteacher / Family Engagement lead with the administration of referrals to the education welfare service/issuing of penalty notices.
- To undertake routine liaison with external agencies regarding attendance - eg Attendance Services.
- To collate attendance data producing routine reports and prepare statistical returns regarding attendance and submit to reporting bodies where appropriate.
- To comply with policies and procedures relating to child protection, health, safety and security, confidentiality, and data protection, reporting all concerns to an appropriate person.
- To liaise with Assistant Headteacher and Family Engagement Lead over attendance concerns.
- Responsible for identifying attendance issues and patterns of absence/late arrivals.
- To support meetings with external agencies and parents as required.
- Be aware of and comply with policies and procedures relating to child protection, health and safety, security, confidentiality, and data protection. Reporting all concerns to the appropriate person.
- Work with Family Engagement Lead to break down barriers to attendance.
- Use IAEPs to support in improving attendance where appropriate.
- Be part of a team completing safe and well checks.
- Follow Local Authority guidance in preparing documents to prosecute for PA and SA.
- Meet with Assistant Headteacher weekly to review attendance patterns of key groups and compare school performance with national statistics.
- Complete Children Missing in Education Referral Forms, with Assistant Headteacher, and submit to the Local Authority.
- Complete Elective Home Education Referral Forms, liaise with Assistant Headteacher, and submit to the Local Authority.
- Other duties in which may, from time to time, be required under the direction of Line Manager or Headteacher.
- To promote the importance of compliance with GDPR within the office, and with other Staff throughout school, and maintain a tidy work area with a 'clear desk' philosophy so that a professional office is maintained.
Admissions
- Ensure the school is adhering to the DfE guidelines on Admissions.
- Work to pre-defined procedures with the administration of admitting new pupils to the school. To correspond/liaise with the local authority admissions team, enter new pupil details onto the school systems and ensure that the school has the relevant information for each file.
- Co-ordinate all mid-term and transition student admission applications including arranging visits to the school.
- Support the Assistant Headteacher regarding paperwork for Independent Appeals Panels
- Update Admission information for each academic year, in liaison with the GAC/Headteacher, and coordinate to ensure the Website and booklets are up to date.
- Management of Student Files
- To ensure all documentation for in-year leavers / starters is sent / received to receiving / departing school with necessary signatures / proof of delivery for audit purposes
- Complete mid-term transfer documents for students wishing to change schools, liaising with the headteacher.
- Production of letters and other communications, to a high standard with excellent grammar and punctuation.
OTHER DUTIES
- To maintain confidentiality and adhere to the school’s procedures and policies.
- To attend staff meetings and training as required.
- Any other reasonable duties as requested.
