Central Administrator job summary
Job Purpose: Under the direction of senior staff provide routine administrative support to the Trust Central team.
Decision-Making: The job involves working within recognised procedures using initiative. The work may involve responding independently to unexpected problems and situations. The post-holder generally has access to a senior member of staff for advice and guidance on unusual or difficult problems.
Key Duties and Accountabilities
Personal Assistant
Provide a personal secretarial, organisational and administrative support service to the CEO, including maintaining confidential records and other support to ensure the efficient running of the Trust.
Undertake projects and initiatives as directed by the CEO including leading on small scale projects.
Clerk to the Trustee Board
Provide secretarial and administration assistant to the CEO in work relating to the Trust Board, liaising between the CEO, the Chair of the Board and individual trustees, ensuring an efficient flow of information
Manage induction and training materials for Trustees and Members
Manage and maintain all records relating to Trustees and Members
Distribute and maintain records of minutes and related correspondence of meetings
Manage and support formal Trustee processes
Administration
Maintain the Trust website
Create, update and manage Trust level policies
Manage the online Central Team file area
Act as Company Secretary
Reception duties, answering routine telephone and face to face enquiries
Sort and distribute mail/email
Act as first point of contact for all organisations and persons having business with the Central team, receive visitors on behalf of the Central team and provide refreshments as required.
Assist with checking deliveries
General
Be prepared to undertake training to further enhance your own professional development
Undertaking other duties as directed and commensurate with the grading of the role.
