Clerk to Governors job summary

The Batt School, St Mary’s Infants, Witney and The Oxford Diocesan Schools’ Trust (ODST) are committed to safeguarding and promoting the welfare of all children and preventing extremism; all staff must ensure that the highest priority is given to following the guidance and regulations to safeguard children and young people. The successful candidate will be required to undergo an Enhanced Disclosure from the Disclosure and Barring Service (DBS) and obtain any other statutorily required clearance. Employment will also be conditional on the receipt of at least two acceptable references (1 from current/latest employer) and evidence of the formal qualifications required for the role. Online searches will be undertaken at shortlisting stage.


We are looking for a highly motivated Clerk to provide efficient clerking and administrative support to the Joint Local Governing Body of The Batt St Mary’s partnership. This partnership includes The Batt School and St Mary’s Infants, which operate under a joint Senior Leadership Team. The Clerk plays a vital role in ensuring the smooth operation of the governing body by preparing agendas and meeting papers, taking and distributing minutes, maintaining accurate records, managing policies and review schedules, and providing up-to-date procedural and legislative advice to the governing body. The ideal individual is proactive, detail-oriented, and committed to supporting effective governance.

Key Responsibilities:

  • Collaborating with the Chair of Governors and Executive Headteacher to prepare agendas, writing up minutes, and distributing relevant documentation to Governors.
  • Managing information and administering meetings effectively.
  • Advising the governing body on governance, constitutional, and procedural matters.
  • Ensuring the governing body complies with constitutional requirements.
  • Handling information in accordance with legal and regulatory requirements.

Ideal Candidate:

  • The successful candidate will have excellent organisational, communication, and ICT skills, along with general administration experience, such as minute-taking and meeting coordination. Attention to detail and a diplomatic approach to communication are essential.
  • This is a hybrid role, requiring attendance at on-site Joint Local Governing Body meetings, primarily held in the evenings. The majority of other duties can be performed remotely.
  • Access to a computer/laptop and reliable internet connection is essential.

Attendance Requirements:

  • Six Joint Local Governing Body meetings annually
  • Four finance committee meetings
  • Adhoc clerk meetings and training sessions
