Data and Exams Officer job summary
About the role
To be responsible for the efficient and effective running of all internal and external examinations within the academy, including liaising with staff, pupils, invigilators and examination boards.
Disseminate examination information to staff, pupils and parents/carers, including exam and invigilation timetables, guidelines and querying results.
Complete examination entries and securely store and send completed examination papers to external examination boards ensuring all deadlines are met.
Liaise with examination boards to ensure the accurate administration of all examinations, including ensuring compliance with examination board rules, coursework requirements.
Organise the academy’s external invigilators, including training and ensuring up-to-date information is provided to them.
Responsible for the preparation of examinations, including room set up, attendance registers, securely storing and checking papers, providing and checking seating plans and stationery.
Make arrangements for the specific needs of individuals (e.g. SEN), external entrants who are not academy pupils and for academy pupils to sit examinations elsewhere including applying for and monitoring access arrangements.
Manage the examinations budget
Supervise other staff involved in examinations
Create and generate interim reports on students’ progress and achievements
Responsible for the local management of the MIS System (Bromcom)
Input data, check information and run reports for Principals, Area Data Manager, Area Data Officer and Improvement Cluster Leads to help highlight trends, results, best practice and potential risks.
Responsible for ensuring that statutory returns are completed accurately and on time
Work with the Area Data Officer in the creation and implementation of the academy timetable
Support the Area Data Manager and Area Data Officer in liaisons with suppliers of analytical data systems to help develop appropriate systems
Provide training on the use of management information systems to other academy staff as needed
Produce lists, information and data as requested by senior staff or external agencies (e.g. standard/statutory returns) for the academy
Maintain manual and computerised records and data management information systems.
Deal with enquiries either by telephone or face-to-face from the academy.
