EHCP Administrator job summary
About us:
Based at Doubletrees School, the EHCP Administrator plays a vital role in ensuring that pupils’ Education Health and Care Plans (EHCPs) are managed effectively, accurately, and in line with statutory requirements.
You will be the central point of coordination for Annual Reviews, Transition Reviews, and in‑year updates, working closely with parents, carers, external professionals, and the Local Authority. This role is ideal for someone who is highly organised, confident with administrative systems, and passionate about supporting positive outcomes for children and young people.
Key Responsibilities:
Annual Review Coordination — Plan, schedule, and administer Annual Reviews,
EHCP Administration — Monitor and support EHCP processes across the school.
Parent & Professional Liaison — Act as the first point of contact for EHCP matters, maintaining positive relationships with families and partner agencies.
Minute Taking & Documentation — Attend review meetings, take accurate minutes, update documents, and produce reports for the Headteacher.
School Report Management — Generate School Report documentation, manage deadlines, coordinate tutor contributions, proofread, and distribute reports.
Data Management — Maintain accurate pupil records, update school systems (including SIMS), and ensure all Annual Review data is recorded correctly.
General Administrative Support — Provide administrative assistance to senior leaders and the wider admin team, including letters, confidential tasks, and operational support.
Record Keeping & Filing — Maintain paper and digital filing systems, photocopying, archiving, and ensuring compliance with Trust and statutory requirements.
Reception & Team Support — Offer reception cover and contribute to wider administrative functions when required.
