MAIN PLACE OF WORK WILL BE WITHIN THE TRUSTS CENTRAL OFFICE (CURRENTLY BASED IN FENTON, STOKE-ON-TRENT) BUT YOU WILL BE REQUIRED TO MAKE AND UNDERTAKE REGULAR TRAVEL TO ALL TRUST ACADEMY SITES. (HYBRID WORKING OPPORTUNITIES ARE APPLICABLE TO THIS POST. Driving license and own car is essential
Core Purpose:
To support the COO and wider Operations team to contribute to leading and implementing the estates strategy for the Trust. Support with the management of capital projects and maintenance projects.
Maintenance, security and estates management in line with statutory and regulatory requirements.
To support with refurbishment, expansion and other building advancements in terms of strategic planning, procuring and implementing building projects within the academies.
To manage our bank of approved contractors ensuring compliance with internal policy and ensuring that all certifications are verified for date and through relevant authority bodies
To achieve success, the newly appointed person will:
Have experience in delivering high quality estate management services in a professional environment and have a robust background in statutory compliance, energy & utilities, management of contractors and budget management
Have the proven ability to build and maintain strong relationships, coupled with excellent written and oral skills.
Have experience in providing training, mentoring and performance support for academy colleagues
Have Risk management experience to support with Risk Assessments, Method statements and general contractor management
Statutory Compliance:
Ensure a robust PPM schedule is in place that meets statutory needs, requirements and keeps the Trust Estates in good working condition.
Prepare and manage an effective Planned Preventative Maintenance (PPM) programme across the estate in line with the DfE Good Estate Management for Schools (GEMS)
Co-ordinate the collection, storage and maintenance of computerised records of statutory checks undertaken to each site. Liaise with estates staff to ensure recommended works are completed with records stored within the Microsoft / MIS.
Co-ordination of annual maintenance inspections including ensuring there is a scope of works for all PPM inspections
Ensure that all estates systems, processes and practices are consistently embedded across all the Trusts estates.
Proactive engagement and management of professional contractor services, to ensure that services are procured in line with financial/procurement regulations and the delivery of high quality/ cost-efficient services.
Develop and maintaining accessible and auditable records for asset maintenance and management this will include both capital works, statutory and reactive maintenance data.
Use the annual maintenance inspections and condition surveys, supporting the COO and estates teams to develop and implement a planned maintenance programme for each academy estate and assets.
To be the estates lead contact for the administration of the Estates Compliance MIS - currently Every
Energy and Utility Management
To conduct thorough energy audits and assessments to evaluate facility performance against benchmarks, KPIs and identify areas for improvement.
Collect, monitor and analyse energy consumption data to identify trends, cost savings, and opportunities for efficiency gains. Including support and guidance to estates colleagues within the academies.
To implement and manage building management systems for our academy estates
Design, implement and manage energy conservation programs and sustainability strategies.
Prepare and present reports on energy performance, energy goals, and project outcomes to management and other stakeholders.
Develop and advise on energy budgets for the academies, track energy costs, and provide input on energy commodity purchasing.
Act as the technical lead for energy efficiency projects and provide technical analysis for performance monitoring and contracts.
Stay up to date on energy regulations, codes, industry best practices, and emerging technologies, such as smart building technologies and renewable energy.
Budgeting/Reporting
Ensure that individual site records are kept up to date and accurate this will include floor plans, condition surveys, and annual maintenance records.
Keep the Chief Operations Officer informed about all areas of responsibility and manage all issues that arise in relation to this role.
Plan and monitor the planned expenditure of PPM.
Ensure that regular checks of buildings, grounds, furniture, fittings are undertaken and to take appropriate action, which will include advising Senior Management on technical issues, financial and budgetary implications.
Ensure that orders placed for approved site works/services are in accordance with approved procedures, specifications, timescales and that the work is supervised and completed satisfactorily.
Preparing reports as required in all areas relating to the role as and when required.
To ensure Trust sites are secure in line with safeguarding legislation.
