Exams Officer job summary
We are looking to appoint an Exams Officer who will be responsible for the efficient and effective running of the administration of all internal and external examinations within the school. The successful applicant will be a team player who is able to cope with the pressures that come with this responsible and vital role.
The Exams Officer will have responsibility for a range of activities associated with the recording, reporting and administration of all exams data. The successful candidate will also support the Head of Centre in ensuring that the centre is compliant with the Joint Council for Qualifications (JCQ) regulations and awarding body requirements in order to always ensure the security and integrity of the examinations/assessments. Outside of the examination seasons, the Exams Officer will assist the Data Manager with tasks as and when required.
This role would suit an experienced Exams Officer; however, full training would be provided for those wishing to develop into this role.
Main responsibilities will include:
- Managing invigilators. This includes training new invigilators and updating existing invigilators on rules and regulation changes on an annual basis
- Organising invigilator schedules and recording working hours of the invigilation team for monthly submission to HR for payroll
- Managing the examination entry process, including gathering information from teaching staff to ensure that students’ examination entries are made correctly and on time, making amendments/withdrawals
- Managing the examination preparation process. This includes preparing examination timetables for students and staff; creating seating plans for each examination room; briefing candidates, staff and parents; receiving, checking and securely storing confidential examination materials; administering internal assessments
- Supporting the process relating to access arrangements by supporting the SENCo in making applications, booking rooms, training invigilators and managing emergency access arrangements
- Managing examination days in accordance with awarding body regulations, including preparing for each exam day, starting an examination, dealing with emergencies, irregularities and malpractice, ending the examination, collecting the examination scripts and packing and dispatching examination scripts
- Managing examination results. This includes accessing results electronically/downloading results from awarding body secure sites and preparing for results to be disseminated to each student/candidate
- Dealing with requests and administering post-results services
- Issuing examination certificates
The successful candidate will:
- Have GCSE or equivalent qualifications in Maths and English at 4-9 (A*-C)
- Possess strong organisational, planning and time management skills
- Be able to adapt and react within a fast-paced environment, managing conflicting priorities
- Have excellent attention to detail, with the ability to work accurately and independently
- Understand the importance of confidentiality with high levels of integrity
- Be able to solve problems, exercise responsible judgement when appropriate and make decisions
- Possess exceptional interpersonal and communication skills, liaising with a wide range of internal and external stakeholders, including students, parents, Heads of Departments, Heads of Years, teachers, reception staff, site staff, IT staff and awarding organisations
- Be hard working, enthusiastic, committed and inspiring
- Have the ability to prioritise their workload and meet deadlines whilst working under pressure

Overview
Leventhorpe School is an outstanding mixed, 11-19 secondary school and sixth form in the historic market town of Sawbridgeworth, Hertfordshire. The school became a Business and Enterprise Academy in August 2011. The intake at age 11 is drawn mainly from the pleasant and prosperous towns of Sawbridgeworth and Bishop's Stortford and from the surrounding villages. Demand for places in the school is very high with over four applications for each place.
In 2016 the school expanded its roll from 6 forms of entry to 8 forms of entry in order to meet local demand. To accommodate our expanding roll Leventhorpe is undergoing an extensive £12 million capital build programme including a Science and Sixth Form block, state of the art Performing Arts and English block recently completed. In recent years investment has included a £6 million Sports Complex (sports hall, fitness suite, dance studio, all weather pitch and floodlit tennis courts), £1 million Learning Resource Centre, re-modelling of Design & Technology facilities and £150k annual investment in ICT provision.
The school places a high priority on academic achievement as demonstrated at the last full OFSTED inspection when the school was graded “Outstanding” in each of the five categories. All staff are expected to play their role in ensuring the best possible outcomes for each and every student. We are proud of our historic pass rates in all subjects, with a large percentage of our highest grades achieving well above the national average. Teachers, students and parents place a very high value on behaviour and care which helps to promote a highly cohesive and effective learning community.
Leventhorpe is also the lead school for School Centred Initial Teacher Training (SCITT) within the Bishop’s Stortford Educational Trust (BSET) and has strong links with universities. The school hosts placements for trainees in a wide choice of subjects and is a long-standing partner school with Cambridge University for PGCE.
Significant investment has been made in staff training to develop approaches to teaching and learning. There is a strong focus on developing high performing teams at different levels in the organisation. This has helped to form a culture with shared vision and values and a constant drive to improve learning opportunities for students.
Subject departments are organised on a Faculty basis. The responsibility for the preparation of schemes of work and for monitoring their delivery lies with the Head of Faculty, overseen by a member of the Senior Leadership Team. The school places a high value on assessment for learning and each student undergoes regular assessments in each subject.
The School upholds traditional values of uniform, discipline, homework, punctuality and polite behaviour. Each of Years 7 – 11 is organised into mixed ability tutor groups and overseen by a Head of Year who oversees the academic and social development of students as they progress through the School. Form Tutors monitor their form members’ progress and liaise closely with pastoral heads.
In addition, each tutor group is assigned to one of eight Houses: Barnard, Cutforth, Fawbert, Lawrence, Moore, Newsom, Rivers and Wilkins. House Leaders organise a host of lively house events throughout the year such as talent competitions, quizzes and sporting events.
An extensive extra-curricular menu is available to all students. A comprehensive timetable of clubs offers something for everyone, from Rock Band to Astronomy Club. A strong emphasis is placed on supporting students not just in lessons but also outside the curriculum. Staff and students' interest and enthusiasm in these groups is high. Music and drama productions are staged frequently to support the musical life of school. 10% of students are admitted on the basis of musical aptitude into year 7. Students are also encouraged to represent the school in a variety of sports.
