What skills and experience we're looking for

Key Responsibilities:

1. Purchase Orders, Invoices & Payments

  • Process and monitor purchase orders (POs) raised by academies, ensuring they are correctly authorised and coded.
  • Match POs with supplier invoices and ensure timely and accurate posting of invoices to the finance system.
  • Prepare and process BACS payment runs, ensuring all payments are supported by appropriate documentation and authorisation.
  • Liaise with suppliers and school staff to resolve invoice discrepancies, payment queries, and credit notes.

2. Financial Record Keeping & Reconciliation

  • Maintain accurate and up-to-date records of income and expenditure, ensuring all transactions are properly documented and filed.
  • Assist with bank reconciliations, ensuring all transactions are accounted for and discrepancies are investigated.
  • Support the Finance Officer in reconciling control accounts, including petty cash, payroll, and VAT.

3. VAT & Compliance Support

  • Assist in the preparation of VAT returns, including compiling supporting documentation, checking VAT coding, and ensuring compliance with HMRC regulations.
  • Ensure all financial transactions are compliant with the Academy Trust Handbook (ATH) and internal financial policies.
  • Support the finance team in maintaining audit trails and preparing documentation for internal and external audits.

4. Fixed Asset Register

  • Help maintain the fixed asset register, including logging new acquisitions, disposals, and asset movements.
  • Ensure assets are correctly categorised and depreciation is accurately recorded in the finance system.
  • Support periodic asset verification exercises in collaboration with school staff.

5. Year-End & Audit Support

  • Assist with year-end procedures, including preparing schedules, reconciling balances, and gathering supporting documentation.
  • Support the Finance Officer and CFOO in preparing for the external audit, including responding to auditor queries and retrieving records.

6. Team & School Support

  • Provide day-to-day administrative and transactional support to the Finance Officer and wider finance team.
  • Respond to routine finance queries from school staff, including those related to purchase orders, payments, and budget codes.
  • Attend training sessions, meetings, and trust-wide events to support professional development and team collaboration.
  • Support the delivery of training to school-based staff on financial procedures and systems, as directed by the CFOO or Finance Officer.

7. General Duties

  • Maintain confidentiality and data protection standards in handling sensitive financial and personal information.
  • Contribute to the continuous improvement of financial processes and systems.
  • Undertake any other duties commensurate with the role, as required by the Finance Officer or CFOO.
