Receptionist and Examinations Administrator job summary
Part-Time Hours 9am-3pm working 27.5 hours per week 39 weeks per year.
Main duties of the role include:
Reception/Front office
To be the first point of contact for both telephone and face to face enquiries and take messages where appropriate
To ensure school security arrangements are always complied with, including issue of visitor badges and singing in of visitors
To accept and sign for deliveries as appropriate
To receive and deal with enquiries from parents, staff, students and LAB members both over the telephone and in person
To greet visitors to the school and liaise with appropriate staff
To provide hospitality for visitors as and when required
To keep parents informed
To ensure security procedures are adhered to
To clear answerphone messages left overnight
To clear/deal with/forward whole school emails
To be responsible for recorded/special delivery correspondence and maintenance/monitoring/adding funds to the franking machine
To undertake filing, photocopying and reprographic work as required
To offer support to teachers for various things including locating teacher, students etc
Accessing information on BROMCOM for telephone numbers and contact details
To provide general and clerical support to the office
Day to day maintenance of the telephone system and franking machine
To have a sound knowledge of using Microsoft Office and any other relevant software
To call the ‘on call’ SLT member to go to requested classrooms
To be responsible for the general tidiness of the reception area
Ensure stock of paper/boarders and other materials/equipment are available for displays and order when required
To be flexible and assist with other duties as and when required
To securely log any exam papers that are received and ensure they are signed in by Exams officer within time frame
Exams administration
To support with the setup and secure running of examinations in line with JCQ guidance and ICE guidance
To undertake specific training on the administration and proper running of examinations.
To work with Exams Officer and SENCO to ensure appropriate measures are in place for students with access arrangements.
To be responsible for creating and printing of examination registers and seating plans, ensuring these are ready and available for the examinations.
To be responsible for the setup and clear down of examinations.
To be responsible for the collection of and checking of examinations and the safe storage of these in the examination cupboard.
To ensure that examinations are correctly sealed and prepared for collection.
To liaise with invigilators to ensure that examinations are correctly staffed
Being able to deal with any conflict effectively; and with minimum fuss. ensuring the appropriate people are informed of any conflict which may happen
To ensure security procedures are adhered to by operating the various control mechanisms in place, checking of ID, issuing badges, and ensuring invigilators sign in and out.
To be responsible for the general tidiness of the examination cupboard
To undertake a range of admin duties including word processing, photocopying, filing, collation and distribution of documents, processing of correspondence and general clerical duties.
Securely logging any exam papers that are delivered and ensuring they are sign in by Exams Officer within timeframe.
To check examination stationary stock and place orders through finance purchasing system.
Accessing information to offer support to invigilators and administrators for various things, including locating teachers, students, telephone numbers and contact details, using the Bromcom database.
To assist in distributing the fire examination registers to all teachers to enable them to take the roll call to ensure the safety of the students.
To have a sound knowledge of using Microsoft Office and any other relevant software.
To provide hospitality for invigilators as and when required.
To be flexible and assist with other duties as and when required.
