Office Administrator 24 hours per week-term time only job summary

We are seeking a organised and enthusiastic individual to join our team in a busy and vibrant primary school office. The ideal candidate will have excellent communication and multitasking skills, with the ability to manage a variety of administrative tasks in a fast-paced environment. You will need to be a friendly, approachable attitude and the ability to stay calm under pressure are essential, as is a passion for supporting the educational environment.

Job particulars:

  • Hours of work: 4 days per week term time only-Time to be agreed at Interview
  • Interview date: TBC Please note candidates may be invited to interview earlier.

Organisation

  • Undertake reception duties, answering general telephone and face to face enquiries and signing in visitors
  • Assist with pupil first aid/welfare duties, looking after sick pupils, liaising with parents/staff etc.
  • Assist in administration arrangements for schools trips, events etc.

Administration

  • Provide general clerical/admin. support e.g. photocopying, filing,complete standard forms, respond to routine correspondence
  • Maintain manual and computerised records/management information systems
  • Produce lists/information/data as required e.g. pupils data/attendance
  • Undertake typing and word-processing and other IT based tasks
  • Undertake administrative procedures
  • Maintain and collate pupil reports
  • Nursery Administration
  • To provide general clerical/admin. support for the office, e.g., photocopying, filing, complete standard forms, respond to routine correspondence
  • To produce lists/information/data as required, e.g., pupils data
  • To undertake typing and word-processing and other IT-based tasks as required, e.g., weekly news bulletins, parents’ letters/information, Headteacher’s correspondence, policies, etc., as required, and other tasks as can be reasonably requested to support other staff members.
  • To undertake administrative procedures eg production of the prospectus/preparation of new pupil folders/files, index cards, etc.
  • To maintain and collate pupil reports.
  • To support the School Business Manager with tasks, as directed, to ensure the smooth running and organisation of the administration office.

Resources

  • Operate relevant equipment/ICT packages (e.g. word, excel)
  • Provide general advice and guidance to staff, pupils and others
  • Undertake general financial administration e.g. processing orders
Responsibilities
  • Be aware of and comply with policies and procedures relating to child protection, health, safety and security, confidentiality and data protection, reporting all concerns to an appropriate person
  • Be aware of and support difference and ensure equal opportunities for all
  • Contribute to the overall ethos/work/aims of the school
  • Appreciate and support the role of other professionals
  • Attend and participate in relevant meetings as required
  • Participate in training and other learning activities and performance development as required

Experience:

  • General clerical/administrative/financial work
  • Working in a busy office environment

Qualifications/Training

  • NVQ 2 or equivalent qualification or experience in relevant discipline
  • Good numeracy/literacy skills

Knowledge/Skills

    • Effective use of ICT packages
    • Use of relevant equipment/resources
    • Good keyboard skills
    • Knowledge of relevant polices/codes of practice & awareness of relevant legislation
    • Ability to relate well to children and adults
    • Work constructively as part of a team, understanding school roles & responsibilities and your own position within these
    • Ability to identify own training & development needs & cooperate with means to address these

    Desirable

    • GCSE’S Maths and English grade 4 or comparable
