Office Administrator HR & Finance job summary

We are looking for a friendly and approachable person to provide a general administration service to the school office, with a focus on finance and HR administration. Key Responsibilities which will form the basis of specific responsibilities

HR Administration for Marton Primary Academy

Maintain compliant HR staff files ensuring compliance with data management processes, managing the archive and data deletion process in a timely manner.

Process payroll changes (starters, leavers, contract changes, expenses) and monthly payroll checks, seeking the Principal’s approval each month

Process changes to and maintain accurate staff record systems (Payroll and Bromcom) and complete the school workforce census.

Maintain processes for and recording of staff absence reporting including sickness absence and special leave requests.

Complete the termly HR metrics reports for Marton to inform the Trusts central HR team

Ensure Bromcom is kept up-to-date with regards to staffing.

Arrange supply cover under the direction of the Principal

Recruitment and selection

In accordance with Bright Futures’ Safe and Fair Recruitment policy, safer recruitment guidelines, employment legislation and best practice be responsible for:

Supporting the Principal in the administration and co-ordination of all recruitment activities for Marton Primary, to ensure recruitment is carried out in a manner which is professional, reflects the school and the Trust’s values and is supportive of candidates.

This includes placing adverts, preparing for shortlisting; arranging and facilitating selection processes and pre interview candidate checks, pre-employment screening, arranging contractual and new starter documentation, payroll notifications and effective onboarding process.

Accurately updating and maintaining Marton’s Single Central Record, ensuring statutory checks are in place for those that work or volunteer for the Trust.

Financial Administration

Produce financial information and returns to the Trust as required.

Source resources and equipment to secure best value. Process all orders in accordance with Trust Financial regulations.

Collate invoice paperwork and delivery notes ready for central authorisation.

Ensure deliveries are correct and take remedial action if needed.

Ensure school credit card is used in accordance with Trust regulations and maintain appropriate records including receipts and reconcile the credit card statements monthly.

Manage unofficial school fund in accordance with Trust procedures and maintain effective and accurate records of income and expenditure.

Manage online parental payment system and follow up any arrears.

Balance the post book

Robust governance and systems and processes

Provide transparent and thorough materials and updates to the Head of School, and where necessary the local governing body, in order for them to challenge and hold the school to account and/or to make decisions

Lead on the establishment of robust systems and processes across areas of responsibility in the Academy, ensuring that the impact can always be measured

Joint Administrative Tasks


Welcome all visitors to the academy and communicate with courtesy and clarity to all staff, pupils, parents, carers, visitors and outside agencies and the wider community, both face to face, by email or over the telephone.

Manage the administrative functions of the academy office, reprographics, email and telephone system.

Obtain necessary licenses, permissions for the effective functioning of the academy e.g. Data Protection Certificate and Copyright licence.

Undertake word processing and other ICT related tasks including letters, report and schedules which utilises other ICT packages such as data bases and spread sheets.

Undertake clerical duties as required by the Senior Leadership Team, including confidential typing.

Provide general clerical support as required including filing, completing returns, producing documentation and responding to routine correspondence.

Support the Principal in getting papers ready for governors meetings.
